Cancellation policy for tattoo studios: template, deadlines and fair rules

Updated September 12, 2026

In short

A tattoo studio cancellation policy settles four things: how late a client can cancel or reschedule for free, what happens to the deposit, what counts as being late, and what a no-show costs. Common industry practice is a 48 to 72 hour deadline, one free reschedule and a forfeited deposit for short-notice cancellations. For the rule to hold, it has to be agreed before booking and stay proportionate.

Key takeaways
  • A cancellation costs you more than the day's income: the drawing time and the request you turned down for that slot are gone too.
  • Six building blocks are enough: deadline, deposit, rescheduling, illness, lateness, no-show.
  • The common ladder: more than 72 hours ahead is free, under 48 hours the deposit is gone.
  • The policy only works if it is visible before booking, so in the booking link, the confirmation and the reminder.
  • Goodwill is fine and often smart, but it should stay your decision instead of becoming the client's expectation.

A cancelled appointment costs you more than that day's income. You already drew the design, blocked half a Saturday and turned down another request for that slot. Still, plenty of studios work without a written cancellation policy and renegotiate every single cancellation, usually by message, usually late in the evening.

Why a clear cancellation policy helps both sides

Without a rule you decide case by case, and every decision feels arbitrary. One client gets the deposit back, the next one does not, and sooner or later they compare notes. A written rule takes that role off your shoulders: you are not being strict, the policy simply applies.

Clients benefit just as much. They know in advance how much time they have to cancel and what a last-minute change costs. That clarity is exactly what makes someone call on Wednesday instead of going quiet on Saturday morning. How much this matters is covered in the article on no-shows.

What belongs in a tattoo studio cancellation policy?

  1. Deadline: until when can a client cancel or move the appointment for free? Use hours, not days, so there is nothing to interpret.
  2. Deposit: what happens to it inside and outside the deadline? Amounts are covered in the article on deposits.
  3. Rescheduling: how often can an appointment move before the deposit is lost? Once, with enough notice, is the common answer.
  4. Illness and goodwill: how do you handle real emergencies? Write that you decide case by case instead of promising an exception.
  5. Lateness: when is the session shortened, when does it count as a cancellation? Twenty and sixty minutes are the usual marks.
  6. No-show: what applies when someone simply does not turn up? State here whether a new appointment is possible and on what terms.

Which deadline is fair and what happens to the deposit?

CancellationDepositNew appointmentExample for a Saturday slot

Less than 48 hours aheadForfeitedNew deposit requiredCancels on Friday

The ladder matters more than the exact number. With 72 hours you realistically still have time to refill the slot. With 24 hours you lose the day anyway. Match the deadline to your session length: a full-day piece needs more notice than a one-hour fine-line design.

How to communicate your policy

  • In the booking link: a checkbox before booking where the client confirms the terms. This is the key one, because that is where the agreement is made.
  • In the confirmation: the short five-sentence version inside the booking confirmation, not as an attachment.
  • In the reminder: one sentence about the deadline in the reminder 48 hours ahead, see our reminder templates.
  • In the studio and on your site: the long version as its own page and as a printed notice, so it can be read at any time.

The most common mistake is sending the terms only after a cancellation. At that point they are not an agreement but a late demand. Anything you want to keep has to have been visible beforehand.

What is legally allowed?

A deposit is legally a prepayment on a contract for work. What happens to it when a client cancels has to be agreed before booking, otherwise there is no basis for keeping it. That holds in Switzerland, Germany and Austria alike.

Flat retentions also have to be proportionate. In Germany a flat amount must not exceed the typical loss, and the client must be allowed to show the actual loss was smaller. In practice: keeping a deposit of 20 to 30 percent is easy to justify, charging a full day rate as a cancellation fee is not.

Short version for the booking confirmationTemplate
Your deposit of 100 CHF or euros secures your appointment and is deducted from the final price.
Up to 72 hours before the appointment starts you can reschedule once for free and your deposit stays valid.
If you cancel less than 48 hours before the start, the deposit is forfeited, because the slot usually stays empty.
If you get ill, please tell me as early as you can and we will find a solution together.
Please arrive on time: after 20 minutes the session may be shortened, after 60 minutes it counts as a cancellation.

Cancellation policy

1. Deposit
Every appointment is confirmed with a deposit. The deposit is 20 to 30 percent of the estimated price, with a minimum of 50 CHF or euros. It is deducted from the total price at the last session of the project.

2. Cancelling and rescheduling
Cancelling or moving an appointment up to 72 hours before the start is free once and the deposit stays valid for the new date. Between 48 and 72 hours before the start the deposit only stays valid if a replacement date is agreed immediately. If you cancel less than 48 hours before the start, the deposit is forfeited.

3. No-show
If you do not turn up and do not get in touch, the deposit is lost. A new appointment is possible once the full session price has been paid in advance.

4. Lateness
After 20 minutes of delay the session may be shortened while the agreed price stays the same. After 60 minutes of delay the appointment counts as a short-notice cancellation.

5. Illness and emergencies
If you are ill or have an emergency, please get in touch as early as possible. We decide these cases individually and look for a fair solution. This does not create a right to a refund.

6. Cancellation by the studio
If we have to cancel, we will offer you a replacement date first. If no date works for you, your deposit is refunded in full.

By booking you confirm that you have read and accepted these terms.
FAQ

Frequently asked questions

How far in advance do I have to cancel a tattoo appointment?

That depends on the studio's cancellation policy. Between 48 and 72 hours before the start is the common range. Within that window the deposit usually stays valid and the appointment can be moved once for free. Cancel later than that and many studios keep the deposit, because the slot can rarely be filled again in time.

Can a tattoo studio keep the deposit if I cancel?

Yes, if that was clearly agreed before booking and the amount is proportionate. A deposit is a prepayment on a contract for work, and what happens to it on cancellation is set by the studio terms. In Germany a flat amount must not exceed the typical loss, and the client must be allowed to prove the loss was smaller.

How high can a tattoo cancellation fee be?

There is no legal figure. In practice studios simply keep the deposit, so usually 20 to 30 percent of the estimated price or a fixed 50 to 200 CHF or euros. The closer the fee gets to a full day rate, the harder it is to justify, especially when the slot can still be filled by someone else.

What should I do when a client cancels because of illness?

Write into your terms that you decide illness cases individually. That keeps you flexible without creating an entitlement. A proven approach is one free reschedule if the client gets in touch immediately and fixes a new date on the spot. For repeated short-notice cancellations you can insist on full prepayment.

Where does a cancellation policy have to appear to be valid?

Before booking and in plain sight. The safest setup is a confirmation checkbox in the booking form, plus the short version in the booking confirmation and one line in the appointment reminder. A page on your website and a printed notice in the studio round it off. Terms sent after a cancellation are not an agreement.

Should I charge a fee when a client arrives late?

Not a separate fee, but do set a clear rule. A proven one: after 20 minutes of delay the session gets shortened while the agreed price stays, and after 60 minutes the appointment counts as a short-notice cancellation with the deposit forfeited. That protects your following appointments without any case-by-case negotiation.
