Most artists start with what is already there: Google Calendar, Apple Calendar, a notebook next to the machine. It works surprisingly long. It stops working when three things come together: more than ten clients a month, deposits you have to write down somewhere, and the first week in which two clients simply do not show up. From then on the calendar turns from a helper into a risk.

Why a normal calendar is not enough for tattoo appointments

A dentist appointment is a slot. A tattoo appointment is a project. It comes with the motif, the body placement, an estimated size, a price range, the agreed deposit, reference images and often several sessions that build on each other. A calendar that only knows title, time and a notes field forces you to type all of that into the description or to dig through WhatsApp threads.

Then there is the money. If you take deposits you need to know: was it paid? How much? Cash, bank transfer, card? And what happens to it when the appointment moves? If that information is missing from the calendar, it lives somewhere else, and that is exactly where you lose it.

Tuesday: the app reminds her automatically. Thursday: you open the booking, see motif, placement, deposit paid. After the session you check out, the balance is settled, the receipt is created by itself.   • Works offline: in a basement studio or at a convention the signal is often bad. The app has to work without reception and sync by itself later.

  1. Future first: move only upcoming appointments, not the past. Old sessions can be added to the client history the next time that client comes in.
