How to use Taddoo

The complete manual in 30 chapters: from the inbox with AI drafts through booking, deposits and automation to CRM, marketing, receipts, dashboards and the artist app. Public and without login, so you (and any AI assistant) can look things up anytime.

1. What is Taddoo

Taddoo connects to each tattoo artist's Gmail inbox and takes over customer communication: incoming enquiries are read, captured in a structured way (motif, body area, size, reference images) and placed in the inbox as a ready-to-send draft reply. You read, decide, send. On request, individual steps send automatically. On top of that come the pipeline, a calendar with self-booking and deposits, customer CRM, consent forms, receipts and newsletter marketing.

One principle runs through everything: the default is a draft for review. Automatic sending is always a deliberate opt-in and always doubly safeguarded.

The three ways in

  • Web management (this area): the full interface for studio owners, booking managers and solo artists. Inbox, pipeline, calendar, customers, marketing, dashboard and all settings.
  • Artist view on the web: a lean dedicated area for employed or managed artists with their own login: calendar, availability, customers, dashboard and receipts (Chapter 23).
  • Artist app (iOS): the app for on the go and at the chair: appointments, checkout with receipt, deposit and booking links, receipt scanner, consent via QR code (Chapter 24).

The five plans

Taddoo is the same product for every size, in five plans: Taddoo app and App Pro (just the app, without email automation), Solo with system (one tattooer with their own inbox and AI drafts), Studio (several artists, one shared inbox) and Agency (several artists, a separate inbox per artist). You can switch between all plans anytime. Details in chapter 29 and on the pricing page.

Roles

There are three roles: account owner (owner), admin (booking manager with full access to management) and artist (own access to their own data only, via the artist view or app). In the Solo plan all roles fall to the same person.

2. Getting started

How to set up a new account, from an empty account to the first automatically answered enquiry:

  1. Create an account: register, confirm your email, choose a plan. You land in web management.
  2. Add an artist: gear icon, Artists, add an artist and connect with Gmail for the Google consent. This is a one-time step per inbox. From then on Taddoo reads incoming mail and may send in your name; it never creates drafts in your Gmail and deletes nothing. When connecting, Taddoo pulls the last 7 days of mail into the system; everything newer keeps flowing in. Older conversations only show up once the customer writes again, and from that mail on; the earlier messages stay in Gmail only.
  3. Fill in context: in the artist under Profile & Context, Context tab, you enter tone, style, prices, rates and no-gos. The more specific the context, the better the drafts. This is the most important lever for quality.
  4. Add templates: under gear icon, Templates, paste a few proven replies from your existing inbox (price reply, appointment suggestion, decline). The AI uses them as style examples.
  5. Services and availability: fixed packages under Services, weekly schedule and absences in the artist's Availability tab. Both are needed for self-booking.
  6. Connect Stripe (optional): Settings, Payments. This lets deposits run automatically and appointments confirm themselves.
  7. Observe: from now on every incoming enquiry creates a draft in the inbox. Everything stays for review until you enable auto-send.
Setup call with Flo: Right after signing up you receive an email (and a notification in the app) with a link to pick a short video call. We walk through your setup together, free of charge, 10 to 15 minutes. The offer also appears as a banner on the web and as a card in the app until you have booked or tapped "No thanks". If you do not react, we remind you a few more times during the free trial (after 3, 7, 12 and 20 days), then no more.
Recommendation: work in pure draft mode for one to two weeks and correct the drafts. Then unlock auto-send step by step, first for harmless steps like collecting info. That way you build trust before automation takes over.

4. The inbox

The inbox is the control center. Three columns: on the left folders and the enquiry list, in the middle the email history with the reply field, on the right all the knowledge about the enquiry.

As long as no Gmail mailbox is connected (or the connection has expired, then with Reconnect), the middle column shows a notice with the next steps instead of an enquiry: connect the mailbox now (with one artist straight into the Google consent, otherwise via gear icon, Artists) or the route via the set-up assistant. Once a mailbox is connected the notice disappears. If a folder is empty (say Waiting on you once everything is answered), the middle column shows a short status of the folder plus shortcuts to the folders that still hold something, instead of a blank area; a search without results shows a tip on what is searched.

On the phone the inbox shows one view at a time: the list with a fixed folder bar at the bottom edge (the four main folders directly, the rest behind More), after tapping an enquiry the email history with the reply field pinned to the bottom of the screen, and via the Details button at the top the project knowledge as a full-screen view. The arrow at the top left returns to the list.

Right-click a folder to set it as the default when opening the inbox. By the way, mail in the Other folder is only marked as read once you actually open it, so you don't miss anything.

The enquiry list

Each row shows the customer, a short motif description, a stage chip and the date. A blue dot plus a blue stripe means unread. REVIEW (orange) means: the AI checker wants you to look at the draft. DRAFT (blue) means: a draft is ready. OTHER SENDER (orange) means: someone wrote in the thread from an address other than the customer's (the customer from a work address, a companion); hover to see the address. Check in the customer card that the right customer is attached to the thread. Above the list you filter by search; below on the left you pick the artist in a dropdown with colored dots; the same dropdown picks the artist everywhere in the admin. You mark a read enquiry as unread again with a single click on hover. Below the folders sits the customer label filter: labels you give customers on the customer card (for example Waitlist Hamburg) narrow the list to exactly those customers, so you can run waitlists right inside the inbox.

The search covers the whole thread: customer name, email address, sender, subject, all mail bodies, motif, body location and your customer notes. Several terms narrow the results: anna forearm finds Anna's forearm enquiry, not every Anna. A date like 2026-07-15 (or 15.07.) finds all threads with mails from that day, also combined with terms. While searching, the folders on the left show the number of hits per folder, so you can see at a glance whether the thread you are after sits in the archive, under Other or in drafts.

Right-click a row to open the quick menu: On you / With the customer / Closed, Customer cancelled (no follow-up), Archive, finer status setting, mark as Other or spam.

The history in the middle

The middle shows the complete email history with the customer, including attached and embedded images. A short click on an image opens it large; holding it down shows a quick preview for as long as you hold, ideal for quickly checking reference images while scrolling. The most important actions sit in the header at the top: create appointment, change status, archive. Archiving, moving and status changes show in the list immediately; after archiving, the next inquiry in the folder opens. The status pill is clickable and sets the stage by hand, for example away from Consultation requested when no consultation was ever wanted; a consultation wish set this way stays locked, the AI no longer flips it back. Via the Compose button you can also start a completely new email to any address (choose artist, recipient, subject, text); this creates a new thread including customer and enquiry. Foreign-language customer emails translate right inside the bubble: the Translate button below the email text shows the translation underneath the original, which stays visible.

Open receipts on sent emails

Every email sent from Taddoo carries a check mark at the bottom right next to the time, like WhatsApp. Grey and single means: sent, no open detected yet. Green and double means: the customer has loaded the email. Clicking the check shows how often and when. This is detected via an invisible image in the email, like email tracking tools do. The signal is approximate: Apple Mail often loads images automatically (which counts as an open even without reading), Gmail does not always show repeat opens, and if you open the sent email yourself in Gmail that can count as an open too (Taddoo itself does not count). That is why nothing automatic depends on it, no follow-up and no folder change. Emails typed directly in Gmail have no check mark. Can be switched off per artist in the Context tab under Open receipts on sent emails.

Split thread and save email as template

If two Gmail threads wrongly ended up in one enquiry (auto-merge), the scissors icon in the header splits one thread back out: its emails, attachments and drafts move into their own (or the reactivated original) enquiry, and the AI re-reads both. Appointments stay on the original enquiry. Every sent artist email also carries a bookmark icon: one click saves it with title and category as a template into the artist's library, with the preceding customer email stored as example context. And if a customer writes on an already booked or closed enquiry, it automatically jumps back to On you so no reply gets lost. The same applies to archived enquiries: if the customer keeps writing, the new email brings the enquiry back out of the archive (like Gmail). Only system and spam senders stay archived. Automatic emails from third-party tools inside a customer thread (read-receipt reminders such as Mailsuite, out-of-office replies) are shown but do not count as customer emails: they do not move the enquiry to On you and get no draft.

Right column: the project knowledge

From top to bottom:

  • Reply as: in whose name (which inbox) you are currently writing.
  • Customer card: history, tags, earlier and parallel enquiries from the same customer, link to the customer profile. Here you edit master data, switch the assigned customer (for example when someone enquires on behalf of another person) and, if needed, override the reply address: if an enquiry comes in via a web form whose sender is the studio address, you enter the real customer email and the reply goes to the right person. Name, email and phone copy with one click, and the classification Customer | System | Spam sits as a segment at the bottom of the card.
  • Project summary: an automatically maintained short overview of what this project is about.
  • Image gallery: all reference and history images of the project collected together.
  • Artist library: files to attach (aftercare PDF, directions), with suggestions matching the stage.
  • Appointment card: the same form as New appointment in the app: type (appointment, consultation, touch-up; walk-in only in the calendar), work location, project estimate with duration, price, deposit and sessions, then appointment mode (calendar or booking link), then depending on the mode the calendar with start, end, free time slots and status, or the booking link section, followed by service, duration, price, deposit and sessions (the control panel of the offer, see below). The appointment mode shows the artist default; switching applies to this inquiry only, Save as default makes it the artist default for web, app and drafts. What the booking link does exactly and what the project estimate means for the whole inquiry sits behind the small info icon next to the default line or next to Whole project: price, deposit, sessions; a click opens the text. For guest locations you assign the work location here. Once an appointment exists, the card becomes the appointment detail like in the app: date, time, status, deposit (mark received, create a payment link and insert it into the draft), Mark as done, Move with the calendar grid, Edit, Follow-up, Cancel and the consent status; another appointment can be created below. A preferred date from the customer is preselected in the calendar. The month calendar sits behind a date row: click to expand it, picking a day collapses it again. Create without a chosen date creates nothing: it opens the calendar and tells you a date is missing first. For a consultation you choose in both appointment modes under Consultation takes place whether it is in person or online; for online you create the Google Meet link in advance or leave the field empty, then it is created automatically as soon as the customer books via the booking link. The customer receives the link with the confirmation, in the calendar file and in the reminder. The open booking link follows the appointment type: Consultation turns it into a consultation link (consultation availability, no deposit), Appointment or Touch-up into an appointment link; the URL stays the same. An existing Meet link appears as a card like the booking link, with Insert into draft, Copy and Remove. The Create Google Meet link button shows before you click whether the artist's Google account has access to Google Meet: Google connections made before 2026-09-02 need to be reconnected once under Artists for this, and owners and admins see the link Renew Google connection right below the button. If no Google account is connected for the artist at all, that is shown there as well. Notes exist in both appointment modes; with the booking link they land on the appointment once the customer books. In the estimate, duration and sessions sit side by side, and the explanations for duration, sessions and deposit are behind the i. Duration, price, deposit and sessions only accept numbers: letters cannot be typed at all, and on saving the field reports an error instead of silently staying empty. In the appointment detail you switch the status directly between Reserved and Confirmed (no email to the customer; the confirmation email still goes out via Deposit received on the reserved appointment), and below it the Whole project: price, deposit, sessions disclosure stays editable; a changed deposit is carried over to tattoo sessions whose deposit is still open. Since 2026-09-02 project and appointment are separate: price, deposit, currency and planned sessions belong to the enquiry, duration and service to the individual appointment. So the two levels are not confused, since 2026-09-04 the appointment disclosure sits as a tinted block inside the appointment card, the project disclosure stands set apart below it under the heading Project (all appointments of this inquiry), and its duration is labelled Estimated project duration. The project duration only prefills new tattoo sessions; consultations start at 30 minutes (or the length of the previous consultation), touch-ups and walk-ins at one hour, and existing appointments are never changed by the estimate any more. When creating, Service for this appointment picks a package for this appointment only; in the appointment detail, the tinted block Only this appointment (with the date in its title): type, duration, price, service, deposit lets you change the type (appointment, consultation, touch-up, walk-in; for consultations in person or online with a Meet link), the end (quick picks from 30 min to 8 h) and the package without touching the other appointments or the enquiry. If the appointment carries the project deposit (amount, due date or payment link), it cannot be turned into a consultation, touch-up or walk-in until the deposit is settled. With several appointments the chips show the project's appointment history: consultations as C1, C2, tattoo sessions as 1/8 (denominator = planned sessions), touch-ups as T1, with a summary like 2 consultations, 8 sessions, 1 touch-up underneath; follow-ups and their consultation link to each other in the detail. The thread header only keeps one Appointments button with a counter that jumps to the card (status, appointments, more, archive, in that order); Deposit received, payment method and meeting link live in the appointment detail. As soon as an appointment exists or the status moves on, the consultation request counts as handled: the consultation reason box and badge disappear and the draft no longer proposes a consultation.
  • Structured fields: motif, body area, size, style, budget and more, with a completeness bar, plus any custom enquiry fields.

The AI fills the fields from the emails. As soon as you change a field by hand it is locked and the AI never overwrites it again. Fields that make no sense for this project you mark with off as not relevant; completeness then counts them as fulfilled.

Duration and price is the control panel of the offer: enter duration and price range (or pick a service package that pre-fills everything), the deposit is calculated automatically from the artist standard. As soon as a duration in hours is saved, a self-booking link is created automatically. The AI also uses these values for the offer block in its drafts.

Replying

Below the history sits the reply field. For a new customer email the AI draft is already there with two chips: the status (Draft / Review needed) and the check result (Check: approved / to review). For Review needed the reason is stated right above it, for example price seems uncertain or unusual enquiry. Long notice banners such as Review needed or New draft available can be collapsed to a slim line via the arrow icon so the customer email above stays readable; clicking the line expands it again.

Tools in the bar: Discard, Attachment, Correct (the AI fixes typos and grammar in your typed text, tone stays), Template (insert text snippets), Regenerate, dictation microphone and the green Send button (Cmd+Enter). The send arrow next to it offers variants such as Send and close.

Working faster

The lightning button next to the search starts speed mode: only open mail, after sending the next one pops up. With j / k you page through enquiries, a archives, b / x move to With the customer / Closed. Press ? for the full shortcut list (Chapter 28).

If a send fails in the background (for example because the Gmail connection is stalling), a red banner appears at the top of the inbox with details and a retry button. Nothing is lost.

5. The journey of an enquiry (stages)

Every enquiry passes through stages, visible as a chip in the list, thread and pipeline:

  1. Collecting info: details are still missing, the AI asks for them.
  2. Info complete: everything is there, now the offer or price is stated.
  3. Consultation requested (fork): only if the customer wants a consultation; afterwards it returns to the main path.
  4. Price discussed: the offer is out, waiting for the go-ahead.
  5. Appointment proposed: appointment offered, by link or manually.
  6. Deposit pending (conditional): only if the artist's deposit workflow is active. The appointment is reserved, the deposit is pending.
  7. Booked: appointment confirmed.
  8. Cancelled / Declined: end state, no more automation.

The stages are mostly set by the system: the AI moves things up as soon as the info is complete, sending an offer sets Price discussed, a booking sets Booked, and so does a paid deposit. You can intervene manually anytime via the right-click menu; your choice takes priority.

Special case: touch-ups

You recognize touch-up enquiries by their own type. Whether and how you offer touch-ups is set per artist (Chapter 16): which info is mandatory (default: a photo of the tattoo), which service applies (price 0 means free) and in which time windows touch-up appointments are possible via self-booking. If touch-ups are disabled, the AI treats such mail like normal enquiries. You can also switch the type of an enquiry (normal or touch-up) manually in the right column; as with the fields: what you set by hand is locked and the AI no longer changes it.

6. The AI behind Taddoo

Behind every enquiry three separate AI roles are at work. Understanding this helps you trust the system and set it up correctly.

  • The extractor reads every incoming email including images and fills the structured fields: motif, body area, size, style, budget, appointment wishes, the customer's language. It only fills empty fields or fields it set itself; anything you changed by hand is locked and stays untouched.
  • The writer composes the draft reply. It knows the whole history, the customer profile including your notes, the artist context (tone, prices, no-gos, custom rules) and receives the two or three most fitting templates as style examples. It replies in the customer's language, answers every customer question directly and completely, and never defers to an internal check or a later reply.
  • The checker is a second, independent AI model from a different model family. It reviews every draft for signature, language, price logic and sensitive wording. If it objects to something, the writer automatically corrects it; if it stays problematic, the draft lands with you as Review needed, with a reason.

Inbound filter

Not every email is a customer enquiry. Newsletters, invoices and system mail are recognized by an upstream filter and sorted into the Other folder without a draft being created. You pull misfiled mail back into the customer workflow with a right-click (or the other way around).

Auto-merge of duplicate threads

Customers like to write a second email instead of replying. With the auto-merge switch (per artist, off by default) Taddoo automatically merges a new email with a matching open enquiry from the same customer before a draft is created. The assignment is checked by the AI and only applies within a maximum of 14 days apart.

Taddoo learns from your corrections

If you change a draft before sending, the system compares your final version with the AI original and derives patterns from it (shorter closing, different price wording, more emoji, fewer exclamation marks). These patterns flow as preferences into all of the artist's future drafts. The more you correct at the start, the less you have to correct later.

Occasionally you see an A/B toggle above a draft: then two models wrote in parallel, you choose and send the better variant, and Taddoo remembers which one won.

What the AI never does

  • Overwrite field values you set.
  • Send automatically without the checker's approval.
  • Create drafts in your Gmail or delete anything there.
  • Invent prices: without a filled duration and price range the offer part stays a placeholder, and a draft with a placeholder is never sent automatically.
  • Decline a request that is not on the no-go list. Style focus tags are not an exclusion list; only real no-gos lead to a friendly decline.
  • Put the offer block into every follow-up mail. Price, deposit and booking link or appointment go into the mail that makes the offer; once the offer has reached the customer or the appointment has been communicated, the block stays out.

7. Auto-send

Under Gear, Flow you set per stage whether drafts are sent automatically (on Agency also in the artist profile under Profile & Context, Flow). Auto-send only applies when ALL conditions are met:

  • The enquiry's stage is set to automatic for this artist.
  • The independent AI checker has approved it.
  • There are no unfilled offer placeholders in the text (price/duration still open).

Otherwise the draft always stays for review. The scheduled send also has a short countdown, visible on the enquiry, which you can stop anytime in the inbox.

Booking confirmations

The two-step principle applies here too: if you confirm an appointment manually or the customer books without an online deposit, the confirmation email is ready as a draft. Only when the customer has paid via Stripe does the confirmation go out automatically, because then there was already a clear action by the customer. For app accounts without a Gmail connection, the automatic confirmation is sent in the artist's name via the Taddoo mail server; customer replies arrive at your account address. Every confirmation email includes a calendar file (termin.ics), shown visibly under attachments in the draft. The customer simply adds the appointment to their calendar; no accept or decline emails are generated. If you don't want to send the calendar file with a particular email, remove the termin.ics chip in the draft via the X; clicking 'Re-attach termin.ics' brings it back.

Flow per plan

  • Solo with system: one artist, one flow. You find it under Gear, Flow (also in the settings hub); the artist profile no longer has a Flow section.
  • Studio: one flow for all artists under Gear, Flow. Every change applies to every artist immediately; the mails name the artist the inquiry is assigned to. What stays per artist (context, library, consultations, self-booking, consent, Stripe) is still managed in the artist profile; its Automation section only shows the payment settings. If artists differ, for example after switching from Agency to Studio, the studio flow shows a banner with the names and the button Apply to all artists. A newly created artist inherits the studio flow automatically.
  • Agency: each artist has their own inbox and their own flow in the artist profile under Profile & Context, Flow. Gear, Flow shows the same settings with an artist picker on top.

8. Follow-up automation

If a customer goes quiet, Taddoo creates a follow-up draft after the intervals you set (for example 3 and 7 days). Per stage you can store your own follow-up hint text in the Flow, for example a gentle nudge after an offer and a more concrete one after an appointment proposal. Auto-send for follow-ups is switchable separately and follows the same safety rules as all other sends.

Stopping a follow-up, three ways, all safe:

  • Right-click the enquiry: Customer cancelled (no follow-up). Sets the status to Declined; closed enquiries are generally no longer touched by the follow-up run.
  • In the follow-up draft itself: Stop following up (stops only the follow-up, the enquiry stays open).
  • Archive the enquiry.

If the customer replies in the meantime, the follow-up chain is reset automatically; nobody follows up while the ball is with you.

Reminder for reserved appointments: If a reserved appointment stays without confirmation or deposit for longer than the configured period (adjustable per artist in the context, default 3 days, 0 = off), Taddoo automatically brings the related enquiry back to On you so you can follow up. The calendar filter Reserved shows all still unconfirmed appointments at any time.

Follow up later (manually scheduled): If a customer declines with "not right now" or "can't afford it at the moment", you do not have to close the enquiry. The calendar-clock button in the thread header schedules a follow-up: in 1, 2 or 3 months, or on a date of your choice.

  • Until the chosen day the thread sits in With customer; an open draft is dismissed in the process.
  • On the chosen day Taddoo writes a fresh follow-up draft and the enquiry returns to On you. Nothing is ever sent automatically, you review as always.
  • The scheduled follow-up works independently of the follow-up automation and its intervals. If the customer replies on their own beforehand, or the enquiry gets booked or closed, the schedule lapses automatically.
  • Optionally as an interval: choose Repeat in the scheduling popover (every 2, 3, 7 or 14 days). Taddoo then automatically schedules the next follow-up after each one, until the customer replies or the enquiry is closed.
  • To change or cancel the date, click the button again; it now shows the scheduled date.

9. Appointment emails

Around every appointment Taddoo can create a series of emails. All are switchable per artist. The appointment reminder is sent directly, the others are created as drafts by default, auto-send is optional in each case:

  • Appointment reminder: X hours before the appointment (time adjustable), with date, time and location. Sent automatically via the central Taddoo sender address, always in the same format and in the customer's language (otherwise the artist's language). Replies go to the artist's mailbox. The consent form is NOT included by default: only if you switch on "Send consent form in advance" does the reminder for tattoo appointments also carry the link to it. Without that switch the customer signs at the appointment as usual. Switching the reminder off switches this one off too. "Preview" next to each switch shows the email as the customer gets it, next to the second one with the link to the consent form.
  • Aftercare email: X hours after completion, optionally with your aftercare PDF from the library attached.
  • Review email: after an adjustable delay, with your review links (Google, Trustpilot and others) and optionally your own intro text. Deliberately created only as a draft.
  • Appointment change emails: on created, rescheduled or cancelled, based on the texts under gear icon, Templates, maintained per language and form of address (informal/formal).
  • Booking confirmation and deposit request: see Chapters 7, 10 and 11.

10. Booking path A: self-booking link

The recommended path: the customer picks an appointment themselves, you do nothing at all. Here is how it works:

  1. Capture duration (and price) in the inbox under Duration & Price; the booking link is created automatically.
  2. In the self-booking card: Insert into draft (puts a ready-made sentence with link and validity period in the customer's language into your reply) or Copy link.
  3. The customer picks a free slot themselves from the artist's real calendar (weekly schedule minus absences minus existing appointments, respecting lead time and booking horizon).
  4. With Stripe deposit active: the slot is reserved for 15 minutes, the customer pays the deposit directly, the appointment confirms itself automatically and the enquiry jumps to Booked. No action needed.
  5. Without Stripe: the appointment is created (with manual confirmation by you depending on the setting), the confirmation email is ready as a draft.

Settings for this are per artist under Profile & Context, Self-booking (lead time, booking horizon, manual confirmation, link validity) and under Settings, Payments (Stripe).

Which times the link offers: The default is edge times: bookable is the start or end of a free block, so no gaps appear in the calendar. Example: working hours 10:00 to 18:00, 6-hour appointment: bookable at 10:00 or at 12:00 (ends at 18:00). Gaps between existing appointments also count as free blocks: with one appointment from 10:00 to 12:00 and one from 14:00 to 18:00, 12:00 is offered for a 2-hour appointment. Alternatively you can switch to fixed start times, for example 10:00 and 14:00: the link then only offers these times, as long as the slot is free. You switch this in the artist app under Settings, Booking link, or on the web under Artists, Self-booking.

The personal booking link from the app

For regular appointments the deposit is mandatory in the booking link (no-show protection). Consultation links can be created without a deposit: the customer just picks a time and the appointment is confirmed right away, with no payment. Touch-up links are always free. Walk-ins have no booking link: the customer is already in the studio, the appointment is entered directly with a date.

Alongside the project-specific link from the inbox, the artist creates personal booking links in the app: set duration, deposit and location, optionally prefill the customer, then send the link to the customer via DM, WhatsApp or email. The customer picks a free slot themselves and pays the deposit; the appointment then confirms automatically. As soon as the customer taps a time, that slot is held for them for 15 minutes and a countdown shows the time left; picking a different time restarts the hold. While the hold is active, no other customer can book the same slot, not even through another link of the same artist. Until it is paid, nothing appears in your calendar and you get no notification. Only once the deposit is paid is the appointment created, confirmed and you are notified. If the customer abandons payment, the slot is released when the hold expires and the link stays usable; since the link is not tied to an email, every fresh visit starts a new booking. This creates a project including customer, which appears immediately in the inbox and pipeline and can be worked on further. The charge is always made in the payout currency of the artist's Stripe account; if the link was created in a different currency, the amount is converted at the current rate and the customer sees a note on the booking page with the approximate amount in the charge currency. On the booking page the customer also sees how long the link is still valid: the remaining time is shown in hours (for example still valid for 120 hours) and in minutes during the final hour. This makes it clear that the link does not last forever; you set the validity period per artist under Profile & Context, Self-booking. The link preview when sharing (for example in WhatsApp or iMessage) also shows the remaining validity as a badge, for example Valid for another 96 hours. The booking page appears in the customer's browser language and covers more than 25 languages, from German and English through Portuguese and Russian to Thai, Vietnamese and Indonesian; the confirmation emails to the customer follow the same language. If we cannot detect the browser language, the language you set as the artist applies. The link preview when sharing still uses your artist language, since no customer language is known for a shared link.

Booking link with a duration in days: If you enter the duration in days when creating the link (for example 2 days for a large project), the customer does not pick a time on the booking page but picks their days directly in the calendar. Each day becomes its own appointment with your day session length (app: Settings, Booking link; default 8 hours). So 2 days means 2 sessions of 8 hours instead of an unbookable 16-hour block. When creating the link you choose with a toggle whether the days must follow each other directly (one tap by the customer selects the whole block) or can be spread freely across the calendar. All days are held together and confirmed with a single deposit; the appointments are automatically chained as a follow-up series and belong to the same project.

Break after appointment: In the app under Settings, Booking link (on the web in the artist's self-booking tab) you can switch on a break that is kept free after every tattoo appointment: 15, 30, 45, 60, 90 minutes or a custom value up to 240 minutes. Default is off. If a customer books 10:00 to 14:00 and the break is 30 minutes, the next bookable slot starts at 14:30 at the earliest; an appointment before it must end so that its own break still fits before 10:00. The customer never sees the break, only their appointment. In the calendar it shows as its own dimmed block right after the appointment, in day and week view. The break is a rule, not an appointment: it applies immediately to all existing appointments, moves along when you move an appointment, and does not count towards revenue or statistics. It only applies after tattoo appointments, not after consultations and not after blocks from external calendars. When you create an appointment manually the break stays a recommendation, you can deliberately book into it.

11. Booking path B: manual plus deposit

  1. Create the appointment in the appointment card on the right (calendar mode, click a day, set start and end, Create); the appointment button in the thread header jumps there, existing appointments are still edited via the dialog. Available types are appointment, touch-up and consultation (touch-ups are free, no deposit is expected); walk-in is only available when creating directly in the calendar without an enquiry. Choose a service or set times freely; customer data can be added directly in the dialog.
  2. If the artist's deposit workflow is active, the enquiry goes to Deposit pending instead of straight to Booked; the appointment is reserved and the deposit request is ready as a draft.
  3. If the customer pays via the Stripe link, everything confirms itself automatically. If they pay another way (cash, Twint), you confirm with Deposit received, directly in the appointment dialog on the web or in the artist app at the appointment. If the customer has already paid when you create the appointment in the app, switch on "Deposit already received" below the deposit field (off by default) and pick the payment method: this works exactly like Deposit received in the appointment detail (appointment confirmed, deposit recorded, an open payment link is invalidated), and the prompt "Send deposit link?" is skipped. The switch only exists for tattoo appointments with a deposit amount; if the payment cannot be recorded in an exceptional case (for instance because another session already carries the deposit in per-project mode), the app tells you and offers the link as usual (since 2026-09-12). In the app and in the inbox appointment card you can set a manually recorded deposit back to open via 'Undo' next to the green confirmation; payment link payments cannot. A project with several tattoo sessions has one deposit for the project: it is expected before the first session (Deposit open, Deposit received and the payment link live there) and deducted from the final price at the last session; the sessions in between are paid in full, the web only shows where it is paid and where it is deducted, and prefills the checkout with the deposit only at the last session and only once it is recorded as received; since 2026-09-03 the artist app shows and deducts the same split. To deviate, set the deposit at this appointment under 'This appointment' in the inbox or in 'Edit appointment' to None (nothing here) or to an own amount (this appointment deducts it); Auto is the rule above. While a payment link is active or the deposit is recorded at an appointment, the exception cannot be set there. Consultations, walk-ins and touch-ups never carry a deposit. Since 2026-09-04 you choose in the artist's flow under Deposit workflow whether the deposit applies per project (the rule above) or per appointment: per appointment, each tattoo session has its own deposit with its own due date, reminder and payment link, Deposit received confirms only that appointment, and each session deducts its deposit from the final price on completion; a booking-link series stays one booking with one deposit, and the mode also applies to projects that are already booked. Also since 2026-09-04 each session has its own price: under This appointment (inbox) or Edit (calendar) you enter the price of this session; it prefills the final price on completion and applies to this appointment only. Price from/to and deposit in the project block still apply to the whole project, i.e. to all sessions without an own price; the duration of a session is its time window (start and end), the project duration only the estimate for the whole tattoo. The artist app shows the price of this session in the appointment detail and in the edit form.
  4. The deposit workflow automatically reminds about open deposits after X days and suggests cancellation after Y days (times adjustable in the Flow header).

Deposit link to share

On every reserved appointment with a deposit amount there is the Deposit link button (in the web appointment dialog and in the app). One click creates a shareable link that you send the customer by email, WhatsApp or Instagram. The link stays valid for the entire reservation period; opening it starts the Stripe payment, after which the appointment confirms itself automatically.

If the customer changes their mind after all

Right-click the enquiry: Customer cancelled (no follow-up). This puts it in the Closed bucket, it no longer appears in On you and receives no more automatic follow-ups. An appointment already created you additionally cancel in the calendar (the cancellation email is then ready as a draft).

12. Calendar and appointments

The calendar shows appointments per artist with day, week and month views. Appointments can be dragged (rescheduled), clicked (details, edit, cancel) and newly created, even without an associated enquiry, for example for walk-ins. Conflicts are checked; deliberate overbooking is possible via Save anyway.

Time zones in the calendar: The calendar works entirely in the artist's time zone, not yours. The guest location active on that day decides, otherwise the time zone from the artist's settings applies. This covers the appointments, the greyed-out past and the red now line: if the artist is in Los Angeles and you are in Zurich, the line sits on their clock, not yours, and it is not visible at all when their time falls outside the hours shown. A chip in the locations bar always shows the artist's local time and the city of their time zone, even when it matches yours. When it differs, the chip is highlighted in red and puts the weekday in front if their calendar day differs.

On the phone the month view shows coloured dots per day instead of appointment chips; tapping a day lists its appointments below the grid (in the single-artist view with a button to create one for exactly that day).

Appointment dialog: status preselection and loss protection

The appointment dialog remembers the status option last chosen when creating (Confirmed or Reserved) and suggests it for the next new appointment; confirming an existing reserved appointment does not change this preselection. Entries are also no longer lost by a stray click: if there are unsaved changes in the dialog, clicking next to the window or on the X first asks whether you want to keep editing or discard. In the mini calendars (inbox and appointment dialog) the dot colours mean: green whole day free, orange partially booked, red fully booked, grey not a working day or away.

Adding appointments retroactively

Past days and times are deliberately selectable when creating an appointment: simply add an appointment that already took place by clicking the past day or slot in the calendar, from the inbox, or in the app. This keeps history, statistics and bookkeeping complete. No email is sent to the customer when adding retroactively. Afterwards, mark the appointment as done and enter the final price so your revenue is correct. Existing future appointments still cannot be moved into the past.

Moving an appointment

In the web calendar you simply drag an appointment to its new time. The app works the same way: press and hold an appointment in the day, week or month view and drag it to the new slot; after moving, a short undo option appears. Reminder email, push reminder and reminder draft automatically re-align to the new date, as does the due date of a still outstanding deposit. Optionally you can inform the customer about the change by email; the message shows the old and the new time.

Appointment types and colors

Walk-in, appointment, consultation, touch-up and private have their own colors so you read the week at a glance. The appointment stores title, times, notes, service, estimated price and deposit; the customer's name and contact details are editable directly on the appointment.

Private appointments

The Private type is your personal blocker: dentist, gym, family time. A private appointment has no customer, no price and no deposit, just a title, date, time window, color and note. It blocks the time in your calendar and in your booking link slots exactly like a customer appointment, so you no longer need a second calendar. Private appointments never appear in revenue, statistics or customer emails, and in a studio setup the admin only sees a block labeled "Private" without title or note. For whole days (vacation, illness), time off under Availability remains the right tool.

View, origin, payment method, attachments

The calendar remembers your last view (year/month/week) and opens there next time; in week view, clicking the week label opens a mini calendar: use the arrows to jump between months, and clicking a day opens that day's week. A large plus button sits at the bottom right: create an appointment with the same dialog as in the app and the artist calendar (quick or detailed, pick a date or booking link, name with customer search, type, availability calendar, free time slots, consultation in person or online with Meet link). In the overview of all artists the button first asks for the artist. Clicking an empty cell opens the same dialog with the clicked day and, in week view, the clicked hour; editing still happens in the appointment dialog. In week view you can drag across empty cells with the mouse to draw a time span (like in Google Calendar and the app); releasing opens the dialog with exactly that span. In the All artists overview, dragging or clicking in the week grid first asks for the artist, then the create dialog appears with the drawn time. The appointment detail shows who booked the appointment (booking manager, artist via app or web, customer via booking link, AI assistant). When marking a deposit as received manually you pick the payment method (bank transfer, cash, Twint, other); link payments are recorded automatically and the method shows in the appointment detail. When creating an appointment and in its detail you can attach PDFs alongside reference images (briefings, templates); they appear as document tiles, also in the app.

Per-day working hours and blocking time

The clock icon on a day (week or month view) opens the day editor. There you adjust the working hours for that single day only (for example just 12:00 to 16:00 on a convention day), mark the whole day as free, or block a time range as Busy. A day adjustment overrides the weekly schedule, guest-location schedule and time off, and applies everywhere: in the calendar, in appointment suggestions and in booking link slots. Days with an adjustment carry a yellow marker; the weekly schedule itself stays untouched. In the week view, hours outside working hours are greyed out while open hours stay bright, so you see at a glance what is still bookable. This also works in the app: in the calendar week view tap the day header, in the day view tap Adjust working hours, then set from/to, mark the whole day as free, or remove the exception again. The app also greys out hours outside working hours in the day and week view; days blocked as Busy get a rose tint.

Appointment detail in the calendar

Clicking an appointment opens the appointment detail; from the overview and from appointment links the calendar jumps to the right week and opens the appointment directly. The This appointment block summarises type (tattoo session, consultation, touch-up, walk-in), duration, service package and meeting: for online consultations the meeting link with open and copy, for in-person consultations the stored meeting point; follow-ups and their consultation link to each other, a click opens the other appointment. These values are changed via Adjust. Below the notes sits the consent status with create link, copy, mail draft and PDF. A manually recorded deposit can also be undone here. In the footer, Create follow-up appointment (for consultations) or Create another appointment adds another appointment to the same inquiry directly, without going through the inbox. The estimated project duration in the tattoo project is the default for new sessions, not the duration of this appointment.

Follow-up appointment

From any appointment you create a follow-up appointment (a second session, the continuation of a large project). The follow-up appointment stays linked to the original appointment and the enquiry, so the history stays connected. Every appointment in the series shows a "Linked appointments" block: it lists the other sessions with date, final price and deposit, and tapping one jumps straight to that appointment.

Cancelling and hiding

Cancelling creates the cancellation email as a draft (Chapter 9). Instead of deleting there is Hide: the appointment disappears from the calendar but stays in the history and is restorable in its own Hidden view. This keeps figures and analytics honest.

Combined view and stations

Accounts with several artists open the calendar in the combined view: all appointments of all artists in one grid, coloured per artist, with a legend. Clicking an appointment opens a quick view with customer, time, status, artist and price without leaving the combined view; a button there takes you into that artist's calendar with all details. The artist filter switches between the combined view and individual artists anytime. The week view is a real time grid: hour axis on the left, seven day columns, every appointment sits at its time and is as tall as it lasts. When appointments of several artists overlap they are staggered behind each other like in Google Calendar, so every card stays readable. Month and year stay tile views. Appointments of ninety minutes and up also show the project's price range, and short appointments sit on a single line so that even half an hour stays readable.

You see free capacity right in the grid: every day carries a discreet row of dots, one per artist in their colour. A filled dot means free, a ring partly booked, a thin faded ring fully booked, a grey dash a day off or away; the tooltip names every artist with their state. It is based on real capacity, that is the day's working hours minus appointments, absences and day adjustments. The dot row sits under the day number in the month view and in the day header in the week view, and the year view colours the days accordingly: green still room, amber getting tight, red everything booked out, faded nobody in the studio.

Stations exist only on the Studio plan (Solo has one workplace, an Agency no rooms of its own). Under Settings, Stations you create your studio's workplaces, there can be more than software seats; at the top you see today's occupancy with counts for free, occupied and blocked. Each station gets assignments with a time range: an artist, a guest artist (name only, no seat needed) or blocked, past assignments stay collapsed as history. In the calendar the overview shows a pill per day like 2/4 free (green all free, amber partly, red full), and the week view lists each station's occupancy in its own row under the day header; an artist's single view keeps the day bar.

13. Pipeline

The pipeline shows all of an artist's enquiries as columns by stage, with completeness percentage, motif, body area and appointments. Clicking a card opens the enquiry in the inbox. The status can be changed directly on the card. Top right you switch the artist, the search filters by name, email, phone or motif. The pipeline is the fastest way to answer the question: where do we stand right now, and where is it stuck.

On the phone the pipeline shows one stage at a time; the stage chips above the columns jump straight to the desired column with a count, swiping works too.

14. Customers (CRM)

Every incoming email is automatically assigned to a customer (the same email address means the same customer). The customer list deliberately shows only real customers and leads; system and spam senders stay in the inbox's Other bucket and don't clog up the CRM. You reclassify misfiled senders directly in the thread Above the list you filter customers for overviews and mailings: appointment completed, appointment booked or inquiry only, by period (with appointment filters the appointment date counts, otherwise last activity) and by minimum spend from completed appointments. The CSV button exports the filtered list (name, email, phone, last active) for Excel.

The customer profile

  • All of the customer's enquiries, across all artists.
  • All appointments with final price and deposit, and from that the realized revenue.
  • Documents by year: consent forms and payment receipts.
  • Tags (for example regular, flash fan) for filtering and marketing.
  • Instagram handle and contact details.
  • Free-text notes: what is written here is known to the AI and taken into account in every draft (for example: reacts sensitively to price discussions, preferred appointment only on Saturdays).

Credit

Per customer you keep a manual credit account, decoupled from appointments: add, edit and delete entries, for example sold vouchers, goodwill credits or the transferred deposit of a cancelled appointment. Positive amounts build credit, negative ones redeem it; the balance is shown per currency. When booking a credit you can optionally record the payment method (cash, card, bank transfer, Twint, other) and a validity, for example two years for a voucher; expired entries are flagged. For every credit you can issue a PDF receipt for the customer with one click. Deposits of open appointments additionally appear as held entries in the credit section until they are settled at the appointment. If an appointment is cancelled after the deposit has already come in, Taddoo asks right away what happens to the money: add it as credit, keep it (late-cancellation fee) or record it as refunded. Choosing credit creates an entry carrying the appointment date in its note, and it stays even if the appointment is deleted later. You can also decide later: the amount then sits in the customer's credit section highlighted in amber with an Assign button. Undoing the cancellation removes a credit created this way. The Deposit credit tile only counts deposits that have actually arrived; expected deposits still open are listed as expected.

Sales

The sales section lists all of a customer's sales chronologically in one place: completed appointments with final price and appointment receipt, received deposits of open appointments, and booked credits and vouchers with their receipt. Every receipt opens as a PDF in a new tab.

Customers without email

You can still create walk-in customers without an email address and assign appointments, receipts and consent forms to them. As soon as a name is entered, the customer appears in the CRM like any other, with appointment history, deposits, credits and receipts; only completely empty entries without a name or contact stay hidden. Taddoo simply sends no email to such customers until a real address is stored.

Deleting a customer

In the customer detail card you will find the Delete button at the top right next to mark as system and spam. One click opens a confirmation showing the scope (number of inquiries and appointments); only Delete permanently removes the customer with all inquiries, mails, drafts, images, past appointments and credits from Taddoo. Receipts and consent forms are kept without a customer link, your Gmail mailbox is not touched. If the customer still has an upcoming appointment, cancel it first. If the address writes again later, a new customer is created.

Importing existing customers

You import existing customers from an old system per artist as a CSV. Taddoo maps the columns automatically (name, email, phone, Instagram, notes), shows a preview and merges duplicates based on the email address instead of creating duplicate customers.

In the app the import runs in four steps. After the column mapping every column shows several sample values, and Taddoo warns you when a field is assigned twice (only the first column counts) or when the values don't fit the field (email without @, phone without digits, unreadable date). Optionally you give all customers from this file your own tag, for example old-crm. Then comes the preview: a dry run that saves nothing yet and tells you how many customers would be created, how many would be merged with existing ones (with sample rows and the reason, email or phone) and how many rows are empty. Only then do you really import; faulty rows are listed individually with their row number in the result.

Got it wrong? After the import the result has an Undo button, and the next time you open the import screen the last import sits at the top as a card with the same button. Undo deletes the customers this import created and removes the fields and tags it added to merged existing customers. Two safeguards: customers who have had activity since the import (appointment, inquiry, credit, mail, payment, marketing consent, campaign, waitlist, consent form) or that you have edited by hand are kept, and on merged existing customers every field you have changed by hand since then stays the way you set it. Each import can only be undone once. If the connection drops during the import, the app says so and blocks the button, because the server may finish the run anyway. Undo lives in the app; an import you ran on the web can be undone from the app as well.

15. Marketing (newsletter)

Under Marketing you build campaigns per artist or for the whole studio:

  1. Choose a style: Clear, Bold, Promo, Photo, Plain, Studio (elegant with serif) or Flash (ticket look for flash days).
  2. Content: subject and preview text (both visible live in the inbox mock on the right), heading, text with placeholders for first name/name, closing/signature, button with style (Filled/Outline/Pill), accent color, PS line, images below one another or as a 2-up grid.
  3. Preview on the right: switchable desktop/mobile, exactly the HTML that will be sent.
  4. Filter recipients: no appointment for X months, include or exclude tags, birthday month. Calculate recipients shows the number before sending.
  5. Test email to yourself, then Send now or schedule for a point in time.

Requirement for any send: your email address must be confirmed. Until then both the test email and the real send are blocked; you can request the confirmation link again in Settings. Sending runs over Taddoo's own sending domain, not over the artist's Gmail; this protects the reputation of the personal inbox. The unsubscribe link is mandatory and is inserted automatically per recipient; unsubscribes maintain themselves. After sending, the report shows Delivered, Opened and Clicked. You save proven campaigns as your own template and use them as a starting point for the next one.

16. Setting up an artist: Profile & Context

Under gear icon, Artists you create artists and connect their Gmail (Connect Gmail button, one-time Google consent; for an expired connection there is Reconnect). When creating an artist you pick their timezone from a list by city (default Europe/Zurich); it can be changed later under Availability. After creating, a notice confirms the new artist, the list jumps to their row and the notice offers Connect Gmail right away. In the artist list you also assign the app login (email and password) for the artist view and iOS app. On the solo plan this step does not exist: your system login is also your app login, so your own artist row has no app login button. The Set up button leads to the heart of it, Profile & Context. Each tab shows Affects-in chips at the top that say where the setting takes effect in the product.

Artist transfer: release and removal

An artist can move into their own Taddoo account with their data (Transfer button in the artist row). Ground rule: past data is copied and stays in your account as history, upcoming items (appointments, open booking and deposit links) move. Your account loses nothing. Two paths: Release sends the artist a proposal with a preview; they choose their plan (App, App Pro or OS Solo), consent, and the move runs automatically, nothing changes until then. Removal is one-sided: the artist immediately loses write access, can still view their own data read-only for 30 days and receives a data export (CSV, documents, images) that stays available for 90 days; appointments and links stay with you. Studio templates, the service catalogue, stations, branding, subscription, campaigns and marketing consents always stay with you. On the studio plan only deliberately assigned inquiries go along, the unassigned pool stays, and the artist holding the shared studio mailbox can only move once the studio address is connected on another artist.

Joining in the other direction: an artist with their own solo or app account can come into your studio with their data (Artists, link "take them on with their data", page Join). You enter their email, see the preview of their account and send the invitation; they consent in their account. Afterwards they are an artist with you, keep their login, their previous account is archived and their subscription ends. Clients with the same email are merged (your row stays leading, their notes are appended), an artist row you prepared with their address is reused. If an artist who used to work with you comes back, their old artist row becomes active again; whatever went from you to them back then (clients, inquiries, mails, appointments, templates, receipts) is not created twice, only what they created since is added. Every path has a two-step confirmation: choose first, then explicitly confirm a summary; removal additionally requires typing ENTFERNEN. A removed artist can later open their own account with the same data via their export link.

Control group

  • Flow (Agency only): the whole funnel visually, from Collecting info to Booked; on Solo and Studio it lives under Gear, Flow (chapter 7). Per stage you toggle auto-send and store follow-up hint texts. This is also where the follow-up intervals sit, the deposit workflow (on/off, reminder and cancellation deadlines) and the sales flow: individual (duration and price per project) or fixed services.
  • Context: tone and style, prices and rates, minimum price, no-gos, custom rules, signature. Everything here goes verbatim into the AI prompt; this tab decides how much the drafts sound like the artist. Plus the email signature (HTML): a professional signature with name, studio, links and Instagram that is automatically appended to EVERY outgoing email on send, whether AI draft or typed manually, with live preview in the editor. Leave empty = emails go out as plain text as before. Below it the switch Open receipts on sent emails (on by default): emails sent from Taddoo carry an invisible image, and when the customer loads the email the thread shows a green double check; off = new emails go out without the image. At the top of the tab you find the artist's name and display name; with a Google login the name initially comes from the Google account and Below that the artist's data language: the language in which the AI stores project summary, motif, body location, consultation reason and inquiry fields (German, English, Spanish, French, Italian, Dutch, Thai, Vietnamese or Indonesian). The artist sees the project data this way on the appointment card and in the app; emails to customers are unaffected and go out in the customer's language. After a change the new language applies immediately to new inquiries; for the existing active inquiries the page offers to regenerate the summaries in the background. Manually set fields are not overwritten, archived and cancelled inquiries stay unchanged. If the language of the latest inquiries differs from the data language, the page shows a hint. The data language is also visible as a chip in the artist list and is chosen when creating an artist. In the Prices block, next to the currency, you find the size unit: centimeters or inches, or Automatic (inches when the currency is US dollars, centimeters otherwise). It applies to all tattoo sizes of this artist, in the inbox, the calendar, the customer profile and the app: input fields and displays use this unit, the AI writes the project summary and email drafts in it and converts what the customer wrote. Internally sizes are always stored in centimeters, so the unit can be switched at any time and existing values are converted automatically. In the app the artist changes the unit under Settings, Profile.
  • Automation: the appointment emails in detail (reminder, aftercare with PDF, review email with review links), auto-merge for duplicate threads and the touch-up settings (offer yes/no, mandatory info, time windows, associated service).

Content group

  • Templates: artist-specific text snippets plus the ability to hide or rewrite studio templates for this artist.
  • Library: PDFs and images (aftercare notes, directions, price list) with stage assignment. Matching the stage they are suggested as an attachment in the inbox or attached automatically.
  • Services: override the studio services with artist-specific values or add your own packages (duration, price range, deposit).
  • Enquiry fields: additional fields the AI should capture from the emails (for example allergies, preferred color). They appear in the right inbox column, in the calendar's appointment detail, in the artist calendar and in the app in the appointment detail and in the customer detail (both directly editable, just tap the row in the appointment detail), and count towards completeness.

Customer & appointment group

  • Self-booking: appointment mode (calendar or booking link, the same switch as in the Flow tab; the app no longer has it since 2026-09-02), lead time, booking horizon, manual confirmation, link validity (Chapter 10). In calendar mode drafts contain no booking link but the appointment you create in the inbox appointment card.
  • Consent: configure the digital consent form (Chapter 20).

In addition there are the Availability (Chapter 17) and Dashboard (Chapter 22) tabs per artist.

17. Availability and locations

An artist's Availability tab controls when and where bookings can be made:

  • Weekly schedule: working days and hours, for example Tuesday to Saturday 10 to 18. The basis for self-booking and workload calculation.
  • Absences: holidays, sick days, conventions. They block self-booking and are visible in the calendar. In the app, past absences are hidden and can be shown via the toggle below the list.
  • Home studio address: the default location that appears in appointment emails and booking pages.
  • Time zone: the artist's local time (for example Europe/Zurich). Controls the time zone used for timestamps in the inbox, in the calendar, in appointment emails and in the self-booking link, so they match the artist's Gmail mailbox. Empty means Europe/Zurich; while travelling, use guest locations with their own time zone.
  • Guest locations: guest spots with a from-to date and their own address. Appointments in that period automatically run at the guest location, and in the inbox every enquiry can be assigned to a location so that drafts and appointment emails state the right address (Chapter 4).
  • In the app (since 2026-09-09): Availability no longer has its own tab in the artist app; it lives under Settings > Calendar & Appointments > Availability (the settings search finds it too). During setup you set the weekly schedule straight from the setup assistant in a short sheet: tap the days, one time range for all of them, Apply; Adjust per day opens the full page. Absences and guest locations are fastest from the calendar itself: the airplane button at the top right opens a menu with Add absence, Add guest location and Manage availability.

18. Services

Gear icon, Services: the central catalog of fixed packages for the whole studio, for example Consultation (30 minutes, free, no deposit), Tattoo Small (1 hour, 100 to 200, deposit 50) or Tattoo Large (3 hours, 300 to 500, deposit 100). Each service carries duration, price range and deposit.

Per artist the values can be overridden or your own services added (Chapter 16). Services appear everywhere offers are created: in Duration & Price in the inbox, when creating an appointment (fields are pre-filled) and in the artist's sales flow, if it is set to fixed services instead of individual prices.

19. Templates (studio-wide)

Gear icon, Templates: studio templates apply to all artists and serve the AI as style examples. For every incoming email the system picks the two or three most fitting templates and gives them to the writer as examples; templates tied to stages are preferred. Good templates are therefore the second-biggest quality lever after the Context tab.

Every artist can hide or rewrite studio templates for themselves without changing them for the studio. Below that you maintain the texts of the appointment change emails (created, rescheduled, cancelled) per language and form of address (informal/formal).

Generate templates from the email history

You don't have to write templates by hand: in the artist's Templates tab there is the button to generate templates from the email history. Taddoo then looks at the last roughly 200 sent replies, finds the best recurring patterns and creates them as suggestions. You go through the suggestions and accept or discard them individually; nothing goes live unasked.

20. Consent form

Taddoo replaces the stack of paper at reception with a digital consent form. The process:

  1. At the appointment (in the artist app or artist view) you start the form. In the app you first choose how: in studio on your device (you hand the customer your phone or tablet, step 1 customer, step 2 your countersignature), QR code to scan, or a link to share. If you use the standard template you also choose the language here (German, English, French, Spanish, Italian or Dutch); the most recently used choice is preselected, a custom template text is not translated.
  2. The customer checks their details on their own phone (name, email and phone are pre-filled from the customer profile), adds address and date of birth (mandatory), confirms the health details by checkbox or notes a health remark, chooses the optional checkboxes (photo for internal documentation, anonymous publication, terms) and signs with their finger. If the customer is under 18 according to the date of birth, the legal guardian block opens automatically: a parent enters their name, confirms consent with a checkbox and signs themselves; the PDF documents the guardian.
  3. Address and date of birth then land in the customer profile and are pre-filled at the next form.
  4. With the signature the content is frozen: the document is then unchangeable and stored as a PDF, including all checkbox states.
  5. In the in-studio mode you countersign right afterwards (step 2), otherwise later on the form's detail page or in the appointment. Every form has its own detail page in the app: status with date and number, customer card, design and placement, signature with its origin (customer device or in studio), countersignature, all confirmed details, documentation photos, timeline and the link to the appointment. The PDF opens directly in the app, is saved on the device and can be shared or saved from there.

The template configures not only the text but also the form on the signature page: which fields are required (address, photo of ID or passport, body placement, design description, health information), a minimum age and the age below which the legal guardian co-signs, as well as custom questions (free text or yes/no) and additional consents as checkboxes. Answers and checkbox states appear in the PDF and on the detail page. In the Studio and Agency plans you maintain a studio template for all artists under Settings, Consent form; the artist's name is inserted automatically on creation. Individual artists can get their own template instead under Profile & Context, Consent, also directly in the app. Changes to the template only affect new forms; existing ones stay frozen. Under Settings, Consent forms (also in the gear menu) you see all forms of the studio across all artists with status filter, artist filter and search; the detail page shows signatures with their origin, details, timeline and PDF, and the studio can countersign there. Typos in motif, body placement, place, date, price or contact details can be corrected even after signing (detail page on the web under Correction, in the app via Correct details): every change is logged with time, name and old and new value, appears in the timeline and at the end of the PDF. Signatures, name, date of birth, health details and the customer's checkboxes stay unchangeable; that requires a new form.

The standard text is a legally reviewed template and covers consent, information, health, motif and spelling, being of legal age, liability, data protection, photo consents and terms; it is available in six languages, and both the form and the PDF follow the chosen language. You configure the template per artist under Profile & Context, Consent, and also directly in the app; the placeholders for artist name and studio/company are replaced automatically when creating. An overview of all forms with status (open, signed, countersigned, expired) is found by the artist in their area; signed PDFs can be opened right there, in the app too. Filed PDFs also appear with the customer under Documents. Important: the form is only created where you trigger it yourself (appointment in the app or artist view). It is never sent to the customer in advance on its own. If you explicitly want that, switch on "Send consent form in advance" in the appointment reminder settings; it is off by default.

Evidential value and storage: every signed declaration is stored with timestamp, IP address and device and cannot be changed afterwards. It is kept twice (structured in the database plus signatures, photos and PDF in encrypted file storage), backed up regularly and remains fully intact even if you delete the customer, the appointment or the artist; only deleting the entire studio account removes it. Since 2026-09-11 this is shown as a green note at the top of the template editor (web and app), so it is clear that the digital declaration can replace the paper form without hesitation.

21. Receipts and income

In the artist's Documents area (artist view on the web) there are three sections: Income, Receipts and Consent forms; in the app, Income and Expenses live in the Dashboard since 2026-09-09 and Consent forms have their own tab (Chapter 24). This is visible only to the artist themselves; there is deliberately no admin view onto other people's receipts.

Receipts (expenses)

The digital shoebox with autopilot: upload a photo or PDF, the AI reads out merchant, date, amount and currency and suggests a category (material, rent, travel and so on). In the app there is the receipt scanner with the camera for this. Each receipt is filed under the year of its detected date; if you scan a receipt from an earlier year, it moves there after processing and the app shows a note with a button that jumps straight to that year and opens the receipt. Software invoices from system mail land here automatically (auto-capture, switchable off per artist). For taxes you export each year as a ZIP (all receipt files) plus a CSV (the table for it).

Income

At the checkout of an appointment (capture final price and payment method) a payment receipt is created automatically as a PDF. The Income section lists them by month with totals and year navigation, also with export. Together with the receipts the artist thus has a year's income and expenses together in two clicks. If the price field is left empty at checkout even though payments were captured (e.g. cash or bank transfer), the final price is derived automatically from the sum of the captured payments so receipt and income stay complete. In the app, tapping an income row opens the related appointment, where you can edit the checkout or open the receipt; tapping the file icon on the left of the row opens the receipt PDF right away in the app's own viewer, saved on the device and shareable from there.

Export and financial report

The export in the app first asks for the period: full year, this or last month, a quarter, or you set a custom range down to the day with the from/to fields, even across year boundaries. As format you pick the ZIP as before (all files plus a CSV table), the financial report as PDF, or both together: income, expenses and net result at a glance, broken down by month and category, including totals per currency. The report is deliberately not an official tax form but a neutral statement you can hand to your accountant or tax advisor anywhere in the world.

22. Dashboards and figures

Studio dashboard

The dashboard in the main navigation shows the revenue of the whole studio or of a single artist (filter at the top, applies across all tabs). If artists work in different currencies, Taddoo converts everything into your main currency, with a daily updated ECB rate; you switch the main currency in the settings. For the view across all artists, Taddoo takes the currency the studio has billed most in so far, otherwise the main currency of most artists. If a daily rate is ever missing, nothing is converted and the cards show each currency separately, side by side. You can also filter by appointment type (appointment, walk-in, consultation, touch-up, private) and by booked by (admin, artist, booking link): Taddoo automatically records for every appointment through which channel it was booked. For agency billing, for example, you can see only the revenue from appointments the artist entered themselves. The filter applies to all key figures and the appointment list. Every appointment has a channel, including the ones from before channel tracking, which were filled in afterwards, so All is always exactly the sum of admin, artist and booking link. Two views of the period sit side by side on purpose: revenue, completed appointments and utilisation count appointments that TAKE PLACE in the period, while the Newly booked card counts appointments that were BOOKED in the period, whose appointment date may well be later. Both numbers are correct and may differ. That is why there are two exports: the Export for Excel button at the top right gives you the appointments of the period, the link on the Newly booked card gives you exactly those bookings. Each export takes over the period, artist and both filters exactly as they are currently set. The export is an Excel workbook with two sheets. The Appointments sheet lists per appointment the hours, the expected price range, the final price, the difference to the estimate, the deposit and a settlement column: checked out, completed but without a price (marked yellow), open confirmed or open tentative. Prices and hours are real numbers, so you can filter and sum straight away. The Summary sheet shows the period and active filters, revenue per currency with the average, the expected range from the open appointments, the appointment counts and the booked hours. Nothing is converted: every currency stands on its own.

Artist dashboard

Per artist (in admin under the artist, for the artist themselves in their area, both show the same figures): a day-plan card (today, tomorrow, this week, next week), revenue in the chosen period, workload (booked against available hours from the weekly schedule), top customers, monthly development and a forecast based on already booked appointments.

23. The artist view on the web

Artists with their own login (assigned under gear icon, Artists) see their own area after signing in, mobile-optimized with a tab bar at the bottom: calendar, availability, customers, dashboard and receipts, plus settings via the gear icon.

  • Calendar: create, edit, cancel your own appointments, including walk-ins, follow-up appointments and checkout (final price, payment method, receipt). Sharing deposit links and confirming Deposit received works here just as in the app.
  • Creating appointments like in the app: the form can do everything the iOS app can. Top right sits the Quick/Detailed switch: Quick shows only the core fields (name with customer search, type, availability calendar, free slots, start/end, motive, deposit), Detailed shows all fields including appointment color, service, project, reference images and mark-as-done. Besides walk-in, appointment and consultation there are also the Touch-up type and the Private type (personal blocker without a customer, see Chapter 12). Under Booking you choose between Pick a date and Booking link: with the booking link you set duration and deposit, get the link to copy or share, and the customer picks a free slot themselves; after payment the appointment confirms automatically. If you create a reserved appointment with a deposit, the form offers right away to create and share the deposit link. The browser remembers both mode settings.
  • Availability: maintain weekly schedule, absences and locations yourself.
  • Customers: your own customer list including profiles, notes and documents.
  • Dashboard: your own figures (Chapter 22) plus the Open projects card: all booking links where the customer has not booked yet, with copy or share link and delete project (invalidates the link). The card can be collapsed and expanded via its header; when collapsed, a small pill still shows the count. The four KPI tiles (Revenue, Expected, Done, Average) can be tapped: a detail sheet shows the breakdown with trend chart, monthly list, top customers or forecast. Since 2026-09-11 the header is as compact as in the calendar: the section (Overview, Income, Expenses) is a dropdown next to the title, below it one row with arrows and period, the today symbol with the day number and the unit (Day, Week, Month, Year) as a dropdown.
  • Receipts and income: the Documents area (Chapter 21), including the consent overview.
  • Marketing: your own newsletter campaigns to your own customers (Chapter 15).
  • Settings: profile, color scheme and language, Stripe payout account. App-package accounts don't see this view: on the web they only get the Subscription page (Chapter 24), everything else happens in the app.

The inbox with the AI drafts deliberately stays with the booking manager; the artist focuses on appointments, customers and figures. In the Solo plan you simply have both.

24. The artist app (iOS)

The artist app brings the artist view to iPhone and iPad. The login is the same as on the web: solo artists use their Taddoo account, studio and agency artists the app credentials assigned by their studio. The most important functions:

  • Calendar: day, 3-day, week, month and colour-coded year views, since 2026-09-11 with a compact, fixed header like Google Calendar: arrows and date range, next to them the Today button as a small calendar icon with today's date and the view as a dropdown (the app remembers the last chosen view); the appointment filter (All, Tentative, Confirmed, Consultation) is a dropdown too. Above day, 3-day and week view sits a hidden mini month: pulling down firmly on the header expands the whole month with coloured dots for free, appointment, time off and unavailable (guest spot days in blue), tapping a day jumps there and collapses it, pulling up collapses it too; there is deliberately no always-visible week row, the date is already on the card below. In the week view, tapping a day header opens that day, holding it opens the day's working hours. Swiping pages in every view, including month and year. The hour grid shows the whole day (0 to 24 h, hours outside working time in grey) and simultaneous appointments sit side by side in narrow columns. Tapping an appointment opens a card from below with time, customer, type, status, price, motif, the customer's contact channels (call, WhatsApp, SMS, email, Instagram; for numbers saved in national format such as 079 the country code is added automatically for WhatsApp) and the buttons Confirm (for tentative ones), Edit and Details; holding and dragging moves the appointment in the grid, holding its bottom edge lengthens or shortens it (with the same confirmation and customer email as moving). Like Google, the plus button opens a menu of icon pills above the button (appointment, walk-in, consultation, touch-up, private event; time off and guest location stay with the airplane button, tapping the dimmed area closes), and the same menu appears after dragging in the grid; the chosen type is then already set in the form, the type switch only remains for entries without a preset (project, follow-up, waitlist); the private event (a blocker without a customer, e.g. dentist or training) is created like in Google Calendar in a card with title, all-day switch, date, start and end; below, like Google, rows for location, link, notes and colour that only become input fields when tapped (location and link then appear in the appointment details, the location opens the maps app; private events have no attachments, those belong to the project file). On Android the calendar header also keeps arrows, because week and 3-day views cannot page by overscroll there. Guest spots stay with the airplane button and in availability. Appointment blocks show time span and price. You create new appointments like in Google Calendar (since 2026-09-11): tapping a free time places a one-hour "New appointment" draft that you move with your finger (in the week view also to another day) and extend by the handle at its bottom; tapping the draft or the plus button opens the form with exactly these times, the X discards it. If you swipe the open form down, the draft stays in the grid like in Google Calendar and a small bar with type and time appears at the bottom: you can still move or extend the block and continue via Open (or a tap on the block) with the new times; for private events the fields you already typed come back too. The X in the bar or in the form discards the draft. Since 2026-09-12 a short pull is enough to close any appointment form (on the content too, not just the handle). Holding down and dragging over the desired time marks the range (the start is the quarter hour under your finger) and on release immediately asks what it should become: appointment, walk-in, consultation, private event or time off; the same menu opens when you tap the draft or the plus button. Guest spots show in light blue in every view: as a hint chip above the calendar in day, week and month view (tap leads to availability), as a blue band in the week header, in the month as a labelled bar across the days of each week (like a multi-day event) and in the year as a frame around the days plus a line with name and dates below the month. Since 2026-09-11 the month and year views show days as rounded tiles without grid lines. Pinch with two fingers to zoom the hour grid; when opening day or week view the calendar jumps straight to the red now line or to the start of your working hours, and a red Now button brings you back to the current time whenever you scroll away. The filter bar (All, Tentative, Confirmed, Consultation) shows or hides appointment types, just like on the web. Below the month and year views a short legend shows the day colours (free, appointment, time off, guest spot); the Colours button next to it opens the full explanation with unavailable, the chip colours of the appointment types from your settings, light green for done and grey for busy times from external calendars. In the appointment detail, tapping a reference image opens the full-screen view: swipe between the images there and save the current one via the download icon (system share sheet, e.g. Save Image or AirDrop); each thumbnail also has the small download button right at its top right. Download all in the header of the reference images block gives you all images bundled as one ZIP file. Chips in the appointment detail header instantly show the appointment type (tattoo appointment, touch-up, consultation, walk-in) and, if booked, the service package.
  • Calendar mirrored both ways: Taddoo appointments show up in Google/Apple via the calendar subscription, and in return you can connect up to 3 private Google/Apple calendars via their iCal address under availability: private events appear as gray busy blocks in the calendar and the booking link stops offering those times (refreshes about every 15 minutes, events up to 400 days ahead). Under “Where do I find the address?” the app shows step by step where the iCal address is for Google and Apple, with a jump into the Google settings; a viewing link pasted by mistake (public URL, embed code) is recognised and explained. The calendar name (for example “Noa Walser”) is taken over automatically on the first sync (since 2026-09-14). Only you see the titles of your private events; the studio at most sees that you are busy.
  • Create an appointment, quick or detailed: a toggle sits at the top right of the form. Quick shows only the core fields: name with customer search, type, the availability calendar with colored dots, free time slots, start/end, motif and deposit. Detailed shows all fields. The app remembers the last used mode. For app accounts it also remembers the choice between Pick a date and Booking link; for agency, studio and solo accounts that preselection comes from the artist's appointment mode on the web, and switching then applies to this appointment only. Which fields the quick version shows you set in the app settings; everything else (reference images, description, contact details) you add later in the appointment if needed.
  • Quick tutorials: After the very first login the app plays a short auto-advancing tutorial once, covering the core flow: create an appointment in quick mode, record the deposit (automatically via booking link, or tap Deposit received for cash or Twint), check out after the session, and the receipt plus bookkeeping entry are created automatically. Under Settings > Tutorials you find more quick tutorials (connect calendars, link in bio, booking link, Tap to Pay, consent via QR, receipts & expenses), and can replay the main one any time. The setup assistant on the dashboard focuses on five core steps: working hours, first appointment, setting up the link in bio (the step takes you to the Flash tab, where the Link in bio card pulses, and in the editor the Page button with the Page public switch; done once the page is live), mirroring the calendar to Google/Apple, and payouts.
  • Checkout at the chair: finish the appointment with final price and payment method, the receipt PDF is created automatically. After checkout the app asks whether you want to send the receipt to the customer: it is shared as a real PDF file via the system share sheet (Mail, WhatsApp, AirDrop etc.). Also available anytime later via the small share button at the top right of the final price block on the completed appointment. If you leave the price field empty and only enter the payments (deposit plus cash, bank or card), the app fills the final price automatically with the sum of the payments; a price you typed yourself is never overwritten. With a final price, the payments must add up exactly to that price, otherwise the appointment cannot be completed (the app names the missing or excess amount). Next to Tap to Pay, cash and bank you can pick your own payment methods (e.g. Twint, gift card); they work exactly like cash or bank, just with their own name, and appear that way on the receipt, in the appointment detail and in income. If an appointment is paid with a single own payment method only, checkout stores its name as the payment method (not Mixed), and the receipt, appointment detail and income show exactly that label; fixed names such as Cash, Bank or Card are therefore not allowed for own payment methods. You create them under Settings, Payments, Own payment methods (up to eight). Only Tap to Pay actually charges a card.
  • Deposit link: create it on the reserved appointment and share it directly via WhatsApp or Instagram; after payment the appointment confirms itself. Cash or Twint you confirm with Deposit received. When marking a deposit as received you pick the payment method (cash, bank transfer, Twint, other); it goes into the bookkeeping.
  • Edit appointment: Link existing customer attaches an appointment created without customer details to an existing CRM customer; the empty placeholder customer disappears. Typing an email that already belongs to a customer also merges the appointment with that customer instead of creating a second one. Walk-ins get a Price (agreed) field when created; the deposit stays optional.
  • Booking link: a personal link per customer (Chapter 10): set duration, deposit and location, then send the link via DM, WhatsApp or email. The customer picks the slot themselves; new bookings appear as open projects and can be worked on immediately. Consultation links also work without a deposit (the appointment is confirmed right away), touch-up links are always free, walk-ins have no booking link.
  • Flash (since 2026-09-09): a dedicated tab for ready-made designs. Per flash you upload up to 8 images (the first one is the cover, changeable via the star), define one or more sizes, each with its own price, duration (15-minute steps) and optionally its own deposit, pick the body parts from a list (plus free text) and decide whether the design is one-off (default: taken after the first confirmed booking) or repeatable. A flash can only be published with at least one image and one size. The grid filters by All, Available, Taken and Drafts; a taken flash can be released again via Offer again, and it is released automatically when its appointment is cancelled or deleted. A taken flash can also be deleted: the appointment keeps title, notes and reference images, only the jump into the editor goes away (while a booking is still in progress, deleting is locked). Whether taken flash stays on the public page marked "Taken" or disappears is set by the "Show taken flash" switch in the Page area. Details on the public page and the booking are below under Flash page.
  • Customers: customer list with profiles, notes and CSV import. In studio accounts each artist only sees their own customers: customers with an appointment with them, customers assigned to them and customers with an inquiry in their inbox. Chips above the list filter by appointment status: All, Done (at least one completed appointment), Planned (appointments, but none completed yet) or No appointment; the search then narrows within the filter. Each row shows the next appointment if one is coming up, otherwise the last one.
  • Automatic appointment reminder (app plan): off by default, you switch it on deliberately. After that, customers with an email on file automatically get a reminder before the confirmed appointment with date, time and location, sent in your name (lead time freely adjustable from 1 to 336 hours, quick picks 24/48/72, default 48). Customers saved with only Instagram or phone are skipped. Right below it sits the separate switch "Send consent form in advance", also off by default. The second switch needs the first: switching the reminder off switches it off too, and after switching the reminder back on it starts at off again. You use both under Settings, Notifications and directly in the customer list (menu top right, Customers); the "Preview" link next to them shows you beforehand how the reminder email reaches your customer, next to the second switch with the link to the consent form; the appointment detail shows per appointment whether the reminder is scheduled, was sent or is not possible without a customer email.
  • Receipts: the receipt scanner with camera and automatic recognition (Chapter 21). Income and expenses live in the Dashboard since 2026-09-09 (sections Overview, Income, Expenses; the export button at the top asks what to export).
  • Consent: its own tab (since 2026-09-09) with a three-step explanation, key figures, filters (All, Open, Signed), a search by customer name, signer or number (EV-...) and the template editor: create a form at the appointment, the customer scans the QR code and signs on their own phone. The download button at the top exports all signed forms or a date range (by appointment date) as a ZIP: one PDF per form plus an overview CSV (Chapter 20).
  • Push notifications: appointment reminder, new booking, link expired (a booking or deposit link expired and was not booked; a tap opens the project or the released appointment), check-out reminder (15 minutes after the appointment ends if it has not been checked out yet; a tap opens the appointment), the daily overview in the morning and occasional feature tips (sent only when you have not used the app for a while, becoming less frequent over time; if you barely use the app they come a bit more often, and once you use it regularly they stop entirely). Each type can be switched off individually in the app settings.
  • Good vibes: every now and then a motivational line, a revenue highlight from your real numbers (monthly revenue, utilization, week recap, new clients) or a milestone like your 100th appointment or a record month. At most once a week, daytime only, and numbers are only sent when they look good. Can be switched off under Good vibes in the app settings.
  • Settings: structured like the iPhone settings: a search field at the top that finds every setting (including words from the descriptions), below it your profile and the sections notifications, calendar & appointments (including availability: weekly schedule, absences, locations, calendar feed), payments, booking & deposit links, appearance & language, connect AI, and account & security. A search result jumps straight to the matching card on its subpage; the setup assistant can be shown again from here at any time. On the App plan (solo) you can also edit the studio name in your profile; it appears on your receipts unless you set a separate business name under receipt details. Studio accounts with multiple artists only see the studio name for reference, since it belongs to everyone. Also in the profile: your Instagram name (optional, since 2026-09-13; without @, never published anywhere, leave it empty to remove it) and the size unit for tattoo sizes (centimeters, inches or Automatic based on your home studio currency). It applies in the app and on the web to all size fields, displays, project summaries and email drafts; existing values are converted. You pick the time zone from a searchable list by city or country; every zone shows its current local time and UTC offset, and your device's time zone is offered as a quick pick at the top.

The app is also available as a standalone App package without email automation, for everyone who only wants calendar, booking links, deposits and receipts. Details on the app page.

Artist page (since 2026-09-10)

Above the flash page now sits your artist page at taddoo.com/@yourname, the link for your Instagram bio (the flash link taddoo.com/flash/yourname keeps working and links back to the page at the top). In the skin of your flash page it shows profile picture, name, location and Instagram, share and a QR code to photograph at the top right, a big "Book a tattoo" button (opens a choice: "Request a custom tattoo" leads to the request form, "Pick a flash" to your available flash designs; with only one way the button goes there directly; if the form is off it opens your Instagram direct message) and below it links as a button list that you arrange in the Flash tab under "Link in bio", section "Links": text pages (Booking Info, Aftercare, FAQ & Policies come as templates in your language; text with paragraphs, lists and bold), external links (portfolio, shop), availability (automatically from your calendar: books open, closed or waitlist with your note, the next free days, guest spots in the booking window, time off), flash (button "Flash" to your grid, without a counter since 2026-09-12; it stays even when the main button also offers flash, while form links are not shown twice) and social icons (Instagram, TikTok, WhatsApp, email, phone). "Create starter links" fills the list once with everything; order via arrows, each link can be switched on or off, clicks are counted per link. New in the look: the button fill (contrast, accent, outline, card) and a location field in the header. Since 2026-09-12 also button colors: under "Look" you pick a palette (single, rainbow, pastel, sunset, ocean, forest, accent shades) that colors the buttons in turn; in the card of a single button you give it its own color (quick picks or color wheel, "Like page" removes it), which takes precedence over the palette. The text color adapts to the brightness automatically, the main button "Book a tattoo" stays in the accent color. The preview in the screen now shows the artist page. Every link page (request form, text page, flash, availability, waitlist) looks like your main page by default; in the link editor, "Design of this page" opens a custom design for just that page (same skins, colours, fonts, own background image, with live preview) and "Back to default" returns it to the main page at any time. In the link list every link with its own page shows its address; tap it or the copy icon to copy it.

Link in bio as a canvas editor (since 2026-09-11)

The "Link in bio" screen in the app now shows your page at full height and you edit directly on it, instead of paging through the two areas "Page" and "Links" with forms. Tapping the profile picture, cover image, name, location, text or Instagram opens the "Page header" card with that field focused; empty fields are grouped as chips "+ Location", "+ Text", "+ Instagram" below the page header. Tapping a button opens the link card: address to copy, clicks, arrows for the order, the Visible switch and "Edit" for the link editor. Disabled links are dimmed with "Hidden", as are buttons customers cannot see yet (flash without a published design, waitlist without an open list, social without a channel); the card tells you why. At the bottom sits "+ Add link", top right the plus and a button to reload the preview. Tapping the main "Book a tattoo" button opens a card explaining that it is built automatically from the request form and flash designs, with shortcuts to both. The hint "Tap the image, a text or a button" appears only the first three times. On the phone the page fills the full width, on the iPad it sits framed in the middle. The bar at the bottom bundles everything that concerns the whole page: "Page" (page public, bio link with copy, share, view, change link name), "Look" (skins, accent and background colour, font, fine-tuning; the card leaves the page header visible so you see colours live) and "Books" (open or closed, note, waitlists). As soon as you change something in a card, "Done" top right in the card becomes "Save" (saves and closes); Save also remains the button on the right of the bar. Both keep the editor open; the X top left closes, asking first if there are unsaved changes. Visibility and order apply immediately as before, texts, look and books with Save.

Page language (since 2026-09-12)

Your page appears in the customer's language: the default is their browser language, and via the globe at the top right (next to Share and QR code) they pick one of the 26 page languages themselves; their browser remembers the choice for a year and it applies to all subpages (form, text pages, availability, flash). New: your own texts are translated too, not only the page's buttons and hints: headline and text in the header, books note, the titles of your links, text pages such as Booking Info, Aftercare and FAQ, plus the intro, questions, help texts and answer options in the request form. The translation is created automatically on the first visit in a language and stored; if you change a text, it is translated again. Names, @handles, addresses, links, prices and placeholders stay unchanged, and paragraphs, lists and bold text are preserved. Customers in your own language still see your original texts; in the preview and in the app's editor you always see what you wrote. Customer replies (requests, waitlists) arrive unchanged in the language they were written in.

Waitlists (since 2026-09-10)

Books on your page are open or closed (Links section, top). Independently of that you keep a waitlist per location: the home studio and every guest spot have their own, each can be switched on or off, with a switch "Allow project wish" and a text for clients (Link in bio > Links > Waitlists). Clients sign up at taddoo.com/@yourname/warteliste (link "Waitlist" and buttons on the availability page, each only while a list is open; since 2026-09-12 the home studio list only counts while books are closed, because customers book directly when books are open, guest spot and custom lists always count): the details you define per list (name, email, phone, Instagram, each required, optional or off; at least one contact channel is required), optionally design, placement, size and up to four reference images. Every entry is also a project with client and location, with a wish also with the images as references. You get a push, see the entries per list in the app (filters Waiting, Contacted, Booked), reach the client with one tap via one of their channels, mark them as contacted, open the project, send a booking link (attached to the project, client and location prefilled; once booked the entry switches to booked automatically) or remove them. Custom waitlists (since 2026-09-12): below the location lists, "Custom waitlist" creates lists with their own title and optional note that are not tied to a guest spot yet, e.g. "NYC" or "2027", to collect interest before you book the guest spot. They work like the other lists (on/off, project wish, required details, text, entries, push) and appear on your page under their title; on the availability page under "More waitlists". The card's three-dot menu lets you edit title and note, delete the list (confirmation; the entries disappear, the customers' projects are kept) or link it to a guest spot from your calendar: the list then becomes that spot's waitlist and all entries and their projects move with it (if a customer is on both lists, the entry with the more advanced status is kept, its duplicate project is declined unless it has an appointment). The reverse also holds: if you delete a guest spot in the calendar whose waitlist still has entries, that list becomes a custom list with the spot's name as title instead of disappearing with the spot. Also: as soon as you publish your first flash, the "Flash" link appears on your page automatically; you can hide or delete it any time and it will not come back. Help in the Flash tab has two entries: How your page works, How flash works.

Requests (since 2026-09-11)

Customers request a custom tattoo directly on your page at taddoo.com/@yourname/anfrage (form "Request a tattoo"; switch it on under Link in bio > Links > card "Requests", toggle "Request a tattoo (form)"). The customer describes the idea, names body part and size (the body part comes from your list, or they type their own via "Other"; which body parts are offered is set in the app when editing the body part question, since 2026-09-12, own entries included), attaches up to six reference images, picks a preferred day in the calendar of your free days (the same month calendar as on the availability page; only free days can be tapped, and if nothing is free within the booking horizon a plain date field is shown) and the location (home studio or a guest location) and leaves contact details: name and email always, phone, Instagram and date of birth depending on what you set as required, plus your own questions. Every request lands in the app immediately as a project (push "New request"), without a booking link; there is no confirmation email to the customer, the success page is enough. In the project you set price, duration and deposit, see the contact details as chips (email, Instagram, WhatsApp, SMS, call) and decide yourself how to reach the customer. A request's project is ordered by workflow: contact chips at the top, then what the customer wants (design, body part, size, images, your own questions), then the "Your offer" card (price, type, duration, deposit) with the two buttons below it, and the customer fields (name, email, phone, Instagram) only at the end. Two buttons lead on: "Send booking link" creates the link for exactly this request, "Add appointment" opens the appointment dialog with the preferred day prefilled; the appointment is attached to the request. After that the request is no longer a request but a normal project or an appointment. In the app "Requests and projects" has had its own "Requests" tab since 2026-09-11 (third slot in the bar; previously a card below the calendar and on the dashboard, both gone). The Customers tab moved to the main menu instead: the menu button top right (replacing the gear) opens Customers and Settings; on iPad, Customers sits in the sidebar. The tab has three sections: New requests, Tentative appointments (upcoming appointments without a deposit, such as a flash or booking link without an online deposit; tapping opens the appointment detail, which now has a "Confirm appointment" button next to the deposit link and "Deposit received") and Booking links; you collapse and expand each section via its header (the counter stays visible, the app remembers the state); top right you create a new booking link directly. Requests sit on top with "New · Request", preferred day and number of images. Waitlist entries are projects without a link too and work the same way. The availability page (taddoo.com/@yourname/verfuegbarkeit) now shows free days as a month calendar like the booking link instead of a list; with the toggle "Free days tappable in calendar" (only with the form) the customer taps a free day and lands in the form with that day as preferred day. The "Availability" button on the main page no longer shows the books status, that sits on the availability page itself. The main button "Book a tattoo" at the top of the page opens a choice with "Request a custom tattoo" and "Pick a flash" (only with available flash designs); if the form is off it leads to your Instagram direct message, and if there is only one way it goes there directly. Form and flash buttons that live inside the main button are no longer listed as a separate button since 2026-09-12 (in the editor they stay tappable, marked "Inside Book a tattoo"). Uploading a cover image switches the page header to "Cover" automatically, otherwise the image would be invisible.

Flash page (since 2026-09-09)

Every artist has a public flash page at taddoo.com/flash/yourname. It is the "Flash" button on your artist page (link in bio, paragraph above): the page link taddoo.com/@yourname goes in your Instagram bio, the direct flash link is for stories and ads; each flash also has its own link with the design as preview image for stories. You set it up via the palette icon in the Flash tab, entry "Flash page" (also from the "Flash" link in your link in bio and under Settings > Booking & deposit links > Flash page): look (grid, show taken flash), deposit, client details, custom fields, note. Link name, header and look belong to the link in bio (paragraph above). This covers: link name (checked live for availability; if it is taken the app says so right away and does not save, new pages automatically get a free suggestion such as name-2), profile picture and cover image, headline, text and Instagram (on the page your name sits small next to the profile picture, below it large the headline or, if none is set, the text), the look as a skin: ten starting points (Klar, Bold, Foto, Studio, Ticket, Gothic, Ink, Paper, Pastel, Neon), then everything is free: nine fonts (System, Grotesk, Serif, Black, Mono, Gothic, Handwriting, Condensed, Display), background color from swatches, a color picker (any color) or a hex value, patterns (dots, grid, grain, paper, stripes), your own background image with opacity, accent color just as free, round or square corners, grid, masonry or large tiles, header with profile picture, cover or text only; text colors follow the background so everything stays readable. A live preview at the top of the screen shows the real page with every change right away, the customer details (name and email always; phone, Instagram, date of birth and note each required, optional or hidden; plus up to five questions of your own such as "Allergies" or "How did you find me?", each required or optional, the answers appear in the project and the appointment notes), the deposit (none, fixed amount or percent of the price, applies to all flashes unless a size has its own; an online deposit requires payouts to be set up, Chapter 25), the default currency and a note shown before booking. The "Page public" switch applies immediately, no save needed; while the page is off, the link shows nothing and the tab shows a hint; the link button in the tab copies or shares the address.

On the page the customer sees all published flashes in their browser language (price and notes such as "One of a kind" sit below the image, nothing covers the design; a switch above the grid toggles between two columns and one column with the image at full size, and the browser remembers the choice), picks design, size (in your size unit, centimeters or inches) and body part, with guest locations in the booking window first the place (home studio or guest location with dates and address), then a free slot from your calendar (the duration of the size determines the time slots; days in a month calendar like the booking link; weekly schedule, absences, edge-slot strategy, buffer and lead time apply as with the booking link, times in the time zone of the place; the chosen slot is held for them for 15 minutes), enters their details and, with a deposit, pays via Stripe; while something is missing (such as the body part or a required field), the book button stays off and a line below it says what is still missing. The deposit uses the same fees and the same "Customer pays the card fee" setting as the booking and deposit links (Chapter 25). The result is a perfectly normal appointment in the calendar, with the flash images as reference images and size, price, duration, body part and location in the project (confirmation email and calendar entry name the address of the chosen place); the appointment detail shows a tile with the design and a jump to the editor. A deposit is the default (new pages take your deposit default from Profile & Context, otherwise 30 percent): with an online deposit the appointment is created confirmed after payment. Without an online deposit (set to "none" or Stripe not connected) the appointment lands in your calendar as reserved: you contact the customer, collect the deposit yourself and confirm the appointment; only then does a one-off flash count as taken. In both cases the customer receives the email with calendar entry, you get a push. A one-off flash is reserved while the payment is open or until you confirm, and taken afterwards; if the customer abandons or the appointment is cancelled, it is released automatically. On the detail page the customer can share a flash (the phone's share sheet; on a computer the link is copied). In the app, each flash card and the editor show with an eye and a share arrow how often customers viewed the flash (opening the detail page, once per device and day, your own preview does not count) and shared it. While someone is holding a time for a one-of-a-kind flash, other customers see "Being booked right now" in the grid and a note on the detail page; they may still try, and whoever completes first gets it. The flash page is included in all plans.

Account and free trial (App package)

First launch in the app (since 2026-09-09, four steps since 2026-09-14): If you download the app without an account, four short steps welcome you before any sign-up, one question per step, no photos, with a progress bar at the top: first the language (coloured tiles, device language preselected, changeable anytime under Settings > Appearance & language), then your artist or studio name, then currency and size unit (prefilled from your device region: US dollars and inches in the USA, euros and centimetres in the eurozone, francs and centimetres in Switzerland; both stay changeable later under Settings) and finally, optionally, your Instagram name (never published anywhere; leaving it empty and tapping Continue works just the same, with a handle the button reads Create account). Only then does the sign-up with email and password (or Google/Apple) follow in a secure browser window, and the app signs you in automatically. Language, name, currency, unit and Instagram carry over: the account and all system emails use the chosen language, the name appears right away on your booking link and receipts (without a name it is derived from your email address as before), and prices, receipts and all tattoo sizes use the chosen currency and unit. If you sign up directly on taddoo.com instead, the currency is preset from your country (USA US dollars and therefore inches, eurozone euros, UK pounds, Switzerland francs) instead of always francs as before. The app also always starts in your device language, even before you have chosen one. Since 2026-09-14 the short tutorial (create appointment to receipt) no longer opens automatically after the first login; it sits in the setup assistant as a link under Create your first appointment and stays under Settings > Help. The card for the setup call with Flo appears in the app only once the account is at least 30 minutes old.

Let's go and calendar import (since 2026-09-13): After signing up you do not land in an empty calendar but on the Let's go screen with three ways to fill it right away: import appointments from your phone calendar (recommended), import clients from a CSV file, or create the first appointment by hand; Later takes you to the calendar. With your permission the calendar import reads the next three months from all calendars on your phone (iPhone calendar, Google, Outlook or Exchange accounts set up there, on Android the Google calendars), without a Google login and without changing anything in your phone calendar. You pick the calendars at the top (birthdays, holidays and subscribed calendars are off) and tick the appointments; timed appointments are preselected, all-day entries are not. Every imported appointment is a confirmed tattoo appointment, never a reserved one, with reminder, receipt and everything an appointment can do; the name in the calendar entry becomes the client (Tattoo Mara becomes Mara, Mara - forearm rose becomes Mara with the note forearm rose), existing clients with the same name are reused, location and notes of the entry go into the appointment notes, and the appointment detail shows which calendar it came from. Add price, deposit and project like for any appointment. The import can be repeated anytime under Settings > Calendar & appointments > Import appointments from phone calendar: Taddoo recognises entries that were already imported and does not offer them again, not even after a cancellation. If the same calendar is also subscribed as an external calendar (paragraph Connect calendar), Taddoo shows no additional busy block for imported appointments. Anyone who opened the app but has not entered an appointment yet gets a short reminder by email and push after one, four and eight days with exactly this import as the button.

You start the App package on taddoo.com with email and password. Right after that you add a payment method in the secure Stripe checkout; this starts your 14-day free trial, and you are only charged after the trial (cancel before then and you pay nothing). Then you download the app and get going right away. New accounts start with a prefilled weekly schedule (Tuesday to Saturday, 10 am to 6 pm), which you can adjust anytime under Availability. Confirming your email address is not a required step: you receive an email with a confirmation link and see a hint in web and app while it is pending (important so we can reach you if you lose your password).

After the trial your subscription continues automatically on the plan you picked; that is when billing starts. Cancel, switch plans or change your payment method anytime on taddoo.com in the Stripe customer portal. If you cancel during the trial you pay nothing; the app then switches to read-only after the trial, your data is fully preserved.

There are two plans to choose from: Taddoo App (16 per month) and Taddoo App Pro (50 per month). Pro has the same features but drops the Taddoo fees entirely: on deposit and booking links as well as Tap to Pay only the raw Stripe fees remain. It pays off as soon as you take a lot of payments through Taddoo. Both plans are also available yearly with two months free (160 or 500 per year). The price automatically appears in your currency (CHF, euro, US dollar or pound, nominally the same). You can switch plans anytime right on the subscription page, every switch asks for confirmation first: upgrades apply immediately (prorated), downgrades at the end of the current billing period.

Manage and cancel the subscription (App package)

You manage the subscription not in the app but on the web. Sign in at taddoo.com with the same credentials: you land directly on the Subscription page (for app-package accounts the only page on the web; calendar, customers and settings live in the app). During the free trial the button leads to checkout; afterwards Manage subscription and payment leads to the secure Stripe customer portal, where you can change the payment method, view invoices and cancel the subscription.

After cancellation your access stays active until the end of the paid period. After that the app switches to read-only: your data is preserved and you can reactivate anytime. Without an active subscription you land straight on the subscription page with the subscribe button after login.

25. Payments and Stripe

Online deposits run over Stripe. Under Settings, Payments you connect the account (guided Stripe onboarding) and set the deposit mode. The artist is the merchant themselves: the money flows directly to their Stripe account and from there to their bank account, Taddoo is never an intermediary.

As long as no Stripe account is connected or the deposit mode is set to manual, the deposit cannot be paid through the booking link. The customer then gets your stored payment details (IBAN, TWINT, PayPal from Profile & context), and the appointment stays tentative until you mark the deposit as received. The appointment card in the inbox points this out in booking link mode and links straight to the setup.

When connecting you choose the country of your Stripe account; it is suggested automatically based on your time zone (Switzerland otherwise). The country determines the currency of your payouts and the currency Tap to Pay charges in person: a Swiss account charges CHF, a German one euros, a Swedish one kronor. If the appointment price is in a different currency, Taddoo converts automatically at the current rate when charging. The account country cannot be changed later; if it was chosen incorrectly, you can disconnect the account in the settings and reconnect with the right country. Existing accounts with the correct country are not affected.

If Stripe requires additional details after connecting (for example because identity verification fails), Stripe pauses payouts: card payments still come in, but the money stays with Stripe. Taddoo shows this in the payment settings as Connected, action required with the note Payouts paused. In that case open Stripe via the Complete details with Stripe button and add the requested details (name, date of birth, address, phone number or ID document) before the deadline Stripe states, otherwise Stripe also blocks charging.

The price currency of your appointments follows your place of work: the home studio and each guest spot have their own currency (set under Availability), with 15 currencies to choose from, from CHF and euros to pounds, kronor and dollars. Forms (create appointment, complete appointment, project) only offer the currencies of your studios; if you work in exactly one currency, the selector disappears entirely. As long as you have not set a currency anywhere yet, CHF, euro and US dollar are available as before.

  • Deposit default: a fixed amount or percentage, overridable per artist. From this the deposit in Duration & Price is calculated automatically.
  • Agency share (Studio plan): an agreed share of the deposit goes automatically to the studio account; the split happens directly at payment, without manual recalculation. A table shows the mode and deal per artist plus the latest payments.
  • Fees: in the Studio and Solo plan the artist as merchant bears the card fee. For deposit links from the App package a small card fee is shown to the customer as a separate line item by default. With Taddoo App Pro the Taddoo share is dropped entirely: only the raw Stripe fees remain and the customer surcharge shrinks accordingly.

For the customer the payment is a familiar Stripe checkout page (card, Apple Pay, Google Pay; further methods depending on the country). After payment the appointment confirms itself automatically, the enquiry jumps to Booked and the payment appears on the appointment, on the customer and in the analytics.

26. Settings, security, MCP

Preferences

Gear icon, Settings, Personal area: color scheme (light, dark, system), interface language and dictation language for the microphone in the reply field, compact in one card. Applies only to your login. Above it sit the areas Studio (set-up wizard, artists, stations only on the Studio plan, templates, services) and Account & plan (plan & billing, payments, security, MCP access, free month); the Artists, Plan and Security rows show the current state right in their description.

Search settings

At the top of the settings hub sits a search field, like in the artist app. Type a term (say signature, deposit, two-factor or weekly plan) and you get a flat list of hits across all sub-pages including the artist sections (context, automation, templates, library, services, inquiry fields, self-booking, consent, availability); each hit shows where the setting lives. One click jumps straight to the matching card, which briefly lights up. With several artists a hit shows the artists as chips, with one artist the row leads there directly. Titles and hint texts are searched, accents do not matter; arrow keys and Enter drive the list, Escape clears the field, the / key jumps into the search field from anywhere on the page. The same search sits at the top of every artist (profile & context and availability): there the hits appear as a list over the page, that artist's sections come first, and one click jumps straight to the matching card without leaving the setup.

Subscription (App package only)

App-package accounts have no settings on the web: after signing in at taddoo.com you only see the Subscription page with the status, during the free trial the trial end with the way to subscribe, with a running subscription the next charge, the plan switch and the Manage subscription and payment button to the Stripe customer portal (payment method, invoices, cancellation). More on this in Chapter 24. Studio and Solo accounts with email automation have no app subscription and manage their plan under Plan & billing.

Security

Change password and enable two-factor sign-in via an authenticator app. Recommended for studio accounts: the inbox contains the customer communication of all artists. Until a second factor is set up, a notice at the top of the system reminds you; "Remind me in 7 days" hides it for a week. New accounts also see a notice until the email address is confirmed via the link in the confirmation email (not needed when signing up with Google or Apple).

MCP access: connect Taddoo with AI assistants

Under Settings, MCP access you connect Taddoo with Claude, ChatGPT or other MCP-capable assistants. Afterwards you can ask questions there like: which enquiries are waiting on me, what's in the calendar tomorrow, how did the month go. Two ways:

  • Connected apps: the normal way. You add Taddoo in the assistant as an integration and confirm access once in the browser. You see connected apps here and can disconnect them anytime.
  • API tokens (advanced): for scripts and power users who want to access without a browser sign-in.

An audit log shows which assistant queried what and when.

Connecting AI on the app plan

On the app plan you set up the connection directly in the artist app: Settings, Connect AI (Claude & ChatGPT). Copy the server address, add it in Claude or ChatGPT as a connector and confirm access once in the browser with your account. For AI apps without browser sign-in you can create an access key in the same card (shown only once, revocable at any time). The assistant then handles the core functions: query the daily plan and appointments, check availability, create, move (individually or in bulk, e.g. shift the whole week by one day), complete and cancel appointments, add time off, look up customers and generate booking links. Every change shows a preview first and only runs after your confirmation.

27. Get a free month (refer friends)

Refer Taddoo and both sides win: your contact gets a 30 day free trial instead of 14, and you earn one free month of your plan for every active referral. Find your personal invite link on the web under Settings > Get a free month, and in the app under the same name in the settings hub.

How it works

  1. Share your invite link (taddoo.com/f/YOURCODE), for example via WhatsApp. The recipient sees an invitation card with your name.
  2. Your contact signs up through the link and tests free for 30 days.
  3. Once your contact gets going, a free month is credited to you automatically. You receive a push notification.

When does a referral count as active?

  • The account is at least 14 days old.
  • It was active on at least 5 different days (app opened or signed in on the web).
  • It created at least 3 appointments or 1 booking link.

You can always see the progress of every referral in your overview: it shows exactly which criterion is still missing.

How is the free month credited?

  • With an active subscription: as a credit in your subscription currency and plan, applied automatically to your next invoice (one twelfth for yearly billing). A payout is not possible.
  • Without a subscription (free trial): your trial is extended by 14 days.
  • This applies equally to all plans, from App to Agency: the free month equals your plan's monthly rate, additional artists are not included. Your contact also gets the 30 days on whichever plan they choose.
  • If you are an artist in a studio or agency you can invite friends just the same: the free month then goes to your studio's subscription, and only the account owner can redeem a code afterwards.
Signed up without the link? An invite code can be applied within 7 days after signup (Apply a code section, web and app). Your own code and duplicate referrals are excluded.

28. Troubleshooting

Fields are no longer filled by the AIManually changed fields are deliberately locked (lock symbol). Release the lock if the AI should take over again.

No internet or server unreachable (app)The artist app keeps working offline: appointments, customers and reference images come from local storage, and creating or editing appointments still works. Changes are saved on the device (notice at the top of the app) and sync automatically as soon as the connection is back.

29. Plans and switching plans

Taddoo comes in five plans. You can switch between all of them anytime, your data comes with you.

Agency (350 per month)Several artists, a separate inbox per artist, centrally managed by the booking manager. Up to 5 artists included.

A yearly subscription costs 10 monthly prices, two months free. On Studio and Agency each artist beyond the 5 included costs 60 per month (600 per year); this adjusts automatically when you create or pause artists.

Studio or Agency?

The only difference is the inbox setup: if you have ONE shared address for inquiries, Studio fits; in the inbox you assign each inquiry to the right artist from the menu, and drafts, templates and calendars automatically follow the assigned artist. If each artist writes from their own address, Agency fits. Same price, switch anytime.

14 days free

Every plan comes with a 14 day free trial. When the trial starts you add a payment method in the secure Stripe checkout; you are only charged after the trial, and if you cancel before then you pay nothing. You test exactly the plan you picked when signing up: choose Solo with system and you work with your own inbox, AI drafts and the web admin system from the first minute. After the trial the subscription simply continues on that plan.

The free period is granted once per email address. It does not restart when you switch plans, and not when you delete your account and sign up again.

From seven days before the end you see a notice in the system with the days remaining. After the trial your subscription continues automatically. If you cancel before then (Plan & billing, Stripe customer portal), Taddoo pauses after the trial: access is locked, no more email is fetched, no drafts are written and nothing goes out in your name. All your data stays and is right there again once you subscribe again. While the trial runs, a subtle line above the system shows the remaining days and Plan & billing shows the trial end; in the Stripe checkout you can enter a promo code when starting.

Switching plans

Managed accounts switch under gear, Settings, Plan & billing; app accounts directly on their Subscription page on the web. Upgrades apply immediately (the difference is prorated), downgrades at the end of the current billing period; a scheduled switch can be cancelled until then. Switching between monthly and yearly is possible too.

  • During the free trial: The change applies immediately and costs nothing. Your trial end date stays the same, the free period does not restart.
  • Downgrade to app or App Pro: the web then only shows the artist view and the Gmail connections are disconnected. Calendar, customers and receipts remain.
  • Switching to Solo with system: only one artist stays active; if you have several, you choose which one during the switch.
  • Switching between Studio and Agency: immediate and without data loss; only the inbox behaviour changes.
As soon as a plan with the email system is active, in the free trial or after purchase, the set-up wizard walks you through the start in six steps: Studio (plan question, name, country, currency, timezone, unit, data language), Artists (your profile on the Solo plan, otherwise create artists right there: name, Gmail address, display name, timezone and data language), Mailbox (connect Gmail straight from the wizard, you return here after the Google consent; Connect later is allowed), What matters to you (appointment mode booking link or calendar plus deposit, follow-ups, consultations, appointment reminder, aftercare email and reviews, each choice is switched on with defaults), Tone & prices (form of address, style, length, hourly rate, minimum price, styles, signature) and Done (summary plus the remaining checklist with app access, templates and test). Everything lands in the normal settings (Profile & context, Flow, Artists) and, on the Studio and Agency plans, applies as the starting default for all artists. Progress is saved, Back works via the step bar, and Finish set-up takes you to the inbox. You can always find the wizard under gear, Set-up; accounts from before the wizard see the final overview there right away. Every step shows the invitation to the onboarding call with Flo at the top (free video call, pick any slot), the final step once more in detail; once the call is booked it turns into a green confirmation line. The wizard differs per plan: Solo and Studio ask for the studio address, on the Solo plan the checklist ends with getting the app, on the Studio plan with stations and assigning inquiries, on the Agency plan the tone step can be skipped (tone and prices belong to the individual artist) and the checklist reminds you to check Profile & context per artist.

  1. Without the AI checker's approval nothing is ever sent automatically.
  2. Without a filled price and duration nothing is ever sent automatically.
  3. Closed, cancelled and archived enquiries never get follow-ups.
